Role Overview

The People and Operations Associate plays a critical role in supporting global HR operations, recruitment processes, and administrative functions within a fully remote environment. This role ensures seamless coordination across multiple time zones, strengthens employee experience, and supports operational efficiency through strong organization, communication, and stakeholder engagement.


Key Responsibilities

Recruitment & On-boarding

  • Coordinate end-to-end recruitment logistics, including job postings, interview scheduling across time zones, and candidate communications.
  • Support hiring managers to ensure a seamless and professional candidate experience.
  • Manage on-boarding processes, including IT setup, orientation coordination, and documentation.
  • Liaise with EOR/PEO partners to support contract processing, compliance, and reference checks.
  • Maintain accurate and organized records of recruitment and on-boarding activities.

PEO/EOR Liaison & Vendor Coordination

  • Support day-to-day coordination with Professional Employer Organizations (PEOs) and Employer of Record (EOR) partners to ensure smooth HR operations.
  • Assist with payroll processing, benefits administration, and compliance requirements in collaboration with Finance & Administration teams.
  • Maintain accurate employee records and support regulatory compliance across multiple jurisdictions.
  • Coordinate performance management processes and track completion of reviews.
  • Manage relationships with external vendors, including recruiters, IT providers, and training partners.

IT Operations & Support

  • Coordinate IT on-boarding and off-boarding processes, including equipment provisioning and access management.
  • Liaise with managed IT service providers to resolve technical issues and support system improvements.
  • Maintain IT asset inventory and oversee deployment, returns, and replacements for remote staff.
  • Support cybersecurity compliance initiatives and training programs.
  • Assist with software procurement, licensing, and rollout of new tools across the organization.
  • Track IT-related expenses in coordination with the Finance team.

Administrative & People Operations Support

  • Provide administrative support across People Operations activities.
  • Coordinate training and development programs, including scheduling, vendor engagement, and communications.
  • Support employee engagement initiatives such as team events, well-being programs, and culture surveys.
  • Maintain and update employee databases, tracking systems, and compliance records.
  • Assist in preparing reports, presentations, and internal documentation.
  • Support policy compliance tracking and reporting requirements.
  • Perform additional duties as assigned to support operational effectiveness.

Qualifications, Experience & Skills

Education & Experience

  • Bachelor’s degree in Human Resources, Business Administration, Operations, or a related field.
  • Minimum of 3+ years’ experience in HR, operations, administration, or related roles, preferably within an international organization.
  • Experience supporting recruitment, onboarding, or employee lifecycle processes.
  • Exposure to non-profit, foundation, or philanthropic sectors is an advantage.
  • Familiarity with multi-country employment structures and global HR operations is preferred.

Skills & Competencies

  • Strong organizational skills with the ability to manage multiple priorities effectively.
  • Proficiency in Microsoft Office and Google Workspace; familiarity with HRIS systems is an advantage.
  • Excellent written and verbal communication skills in English.
  • High attention to detail with the ability to maintain confidentiality.
  • Strong interpersonal and collaboration skills across diverse, multicultural teams.
  • Ability to work independently while seeking guidance when needed.
  • Adaptability and flexibility in a fast-paced, remote work environment.

Terms & Conditions

  • Full-time (40 hours per week) remote position with flexibility to collaborate across multiple time zones (supervisor based in GMT+1).
  • Occasional travel may be required for team retreats or organizational events (approximately 10%).
