Position Overview
We are seeking a highly organized and professional Administrative Assistant to support front office and administrative operations at our Takoradi office. In this full-time role, you will serve as the first point of contact for visitors and clients, ensuring a welcoming, efficient, and professional office environment.
Key Responsibilities
Front Office & Reception Management
- Manage the reception area and ensure it remains clean, organized, and welcoming at all times.
- Receive and attend to visitors, clients, and walk-in guests professionally.
- Direct visitors to the appropriate departments or personnel promptly and accurately.
- Handle inquiries about company services in person, via phone, and email.
Administrative Support
- Maintain an accurate visitor log and manage appointment scheduling.
- Process incoming and outgoing correspondence, including letters, emails, and packages.
- Raise and route internal requests to relevant departments for action.
- Maintain and update office records, filing systems, and documentation.
Office Coordination
- Support general administrative and clerical tasks as assigned.
- Ensure smooth day-to-day office operations through effective coordination.
- Assist in maintaining communication flow between departments.
Candidate Profile
Educational Requirements
- HND or Diploma in Business Administration, Public Administration, Secretaryship, or a related field.
Skills & Competencies
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong verbal and written communication skills.
- Professional appearance and courteous demeanor.
- Excellent organizational and time management abilities.
- Ability to multitask and remain effective under pressure.
- Strong attention to detail and reliability.
Experience
- Prior experience in an administrative, reception, or front office role is an advantage.
