Job Purpose

The Account Officer will be responsible for managing daily financial transactions, maintaining accurate accounting records, and supporting the finance team in ensuring compliance with Ghanaian tax laws and internal policies. The role contributes to the organisation’s financial integrity by processing payments, reconciling accounts, and preparing timely reports.

Key Responsibilities

1. Daily Financial Operations

2. Record-Keeping & Data Entry

  • Post financial transactions into the accounting software (e.g., QuickBooks, Tally, Sage, or SAP) with correct general ledger codes.

  • Maintain orderly filing systems (physical and digital) for all financial documents such as invoices, receipts, contracts, and tax certificates.

  • Support month-end and year-end closing procedures by preparing journal entries and schedules.

3. Tax & Statutory Compliance

  • Calculate and prepare VAT, NHIL, GETFund Levy, and withholding tax returns for review and submission to the Ghana Revenue Authority (GRA) on time.

  • Assist in preparing SSNIT (Tier 1 & 2) contribution schedules and ensure timely remittance.

  • Help maintain records required for internal audits, external audits, and statutory filings (e.g., annual returns to the Registrar General’s Department).

4. Reporting & Reconciliation

  • Prepare monthly debtor and creditor aging reports, and follow up on overdue accounts.

  • Reconcile bank statements with the general ledger, investigating and resolving discrepancies promptly.

  • Assist in the preparation of monthly management accounts, budget variance reports, and cash flow forecasts.

5. Internal Controls & Audit Support

  • Ensure adherence to financial policies, procedures, and internal controls to safeguard company assets.

  • Provide documentation and explanations to internal and external auditors during periodic audits.

  • Identify process inefficiencies and recommend improvements to the Finance Manager.

6. Stakeholder Communication

  • Liaise with banks, suppliers, and clients to resolve financial queries and obtain supporting documents.

  • Assist non-finance colleagues in understanding payment and expense reporting procedures.

Qualifications & Experience

  • Minimum of a Bachelor’s degree in Accounting, Finance, Business Administration (Accounting option), or a related field.

  • Part qualification (or active student registration) in a recognized professional accounting programme (ICA Ghana, ACCA, CIMA, or similar) is a strong advantage.

  • 1–3 years of progressive experience in an accounting or finance role, preferably in Ghana.

  • Hands-on experience with accounting software (e.g., QuickBooks, Tally, Sage 50) and proficiency in Microsoft Excel.

  • Familiarity with Ghanaian tax regulations (VAT, WHT, PAYE) and SSNIT administration.

Skills & Competencies

  • High attention to detail and numerical accuracy.

  • Strong organizational and time management skills; able to meet tight deadlines.

  • Integrity and discretion when handling confidential financial information.

  • Analytical and problem-solving mindset.

  • Good communication and interpersonal skills to interact with banks, GRA, and team members.

  • Ability to work independently as well as collaboratively in a fast-paced environment.

Key Performance Indicators (KPIs)

  • Accuracy and timeliness of bank reconciliations (completed by the 5th of each month).

  • Zero penalties for late or incorrect statutory filings (VAT, SSNIT, WHT).

  • Reduction in overdue receivables through consistent follow-up.

  • Unqualified audit opinions on areas directly managed.

  • Data entry error rate below agreed threshold.

Work Conditions

  • Primarily office-based; occasional visits to banks, GRA offices, or client sites.

  • May require extended hours during month-end, year-end, or audit periods.
