Position Purpose

The Administrative Assistant will provide essential administrative and operational support to ensure the smooth functioning of business activities. The successful candidate will assist with document management, data processing, scheduling, reporting, and office coordination while maintaining a high standard of professionalism and accuracy.

Key Responsibilities

Administrative Support

  • Provide day-to-day administrative support to departments and management.
  • Prepare, organize, and maintain records, reports, correspondence, and other business documents.
  • Manage filing systems and ensure information is accurately stored and easily accessible.
  • Assist with scheduling meetings, appointments, and coordinating calendars.
  • Support the preparation of presentations, reports, and business documentation.
  • Handle incoming communications and direct inquiries appropriately.

Data Management and Reporting

  • Maintain accurate records and databases.
  • Capture, verify, and update information with a high level of accuracy.
  • Utilize Microsoft Excel to prepare reports, analyze data, and maintain spreadsheets.
  • Support the preparation of periodic operational and administrative reports.
  • Ensure data confidentiality and integrity at all times.

Office Coordination

  • Assist in coordinating office activities and administrative processes.
  • Monitor office supplies and support procurement requests when required.
  • Support internal communication and coordination among teams.
  • Ensure administrative tasks are completed efficiently and within established timelines.
  • Contribute to maintaining an organized, productive, and professional work environment.

Operational Excellence

  • Support continuous improvement initiatives that enhance administrative efficiency.
  • Follow established procedures and organizational policies.
  • Prioritize tasks effectively and manage multiple assignments simultaneously.
  • Deliver high-quality work while meeting deadlines and maintaining attention to detail.

Qualifications

Education

  • Bachelor’s Degree in Business Administration, Management, Economics, Finance, Social Sciences, or a related discipline.

Experience

  • Previous administrative, office support, customer service, or related experience will be an advantage.
  • Experience working in a professional or corporate environment is desirable but not mandatory.

Required Skills and Competencies

Technical Skills

  • Strong proficiency in Microsoft Excel (essential).
  • Good working knowledge of Microsoft Word, PowerPoint, and Outlook.
  • Ability to prepare reports, maintain records, and manage data accurately.
