We are seeking a proactive, detail-oriented, and organized Store Officer to join our team. The successful candidate will play a vital role in ensuring the efficient management of medical supplies, pharmaceuticals, equipment, and other inventory required to support the hospital’s daily operations.

Position Summary

The Store Officer will be responsible for receiving, storing, issuing, and monitoring inventory while maintaining accurate stock records. The role requires effective inventory control, timely procurement support, compliance with hospital policies, and close collaboration with various departments to ensure the continuous availability of essential supplies.

Key Responsibilities

Inventory Management

  • Receive, inspect, and verify incoming goods against purchase orders and delivery notes.
  • Store inventory safely and systematically to ensure easy identification and accessibility.
  • Issue medical supplies, consumables, equipment, and other materials in accordance with approved procedures.
  • Maintain accurate inventory records and update stock movements promptly.
  • Conduct regular stock counts and reconcile physical inventory with inventory records.
  • Monitor stock levels and initiate timely replenishment requests to prevent shortages.

Stock Control and Documentation

  • Maintain accurate records of receipts, issues, transfers, and stock balances.
  • Prepare inventory reports and stock reconciliation reports for management.
  • Ensure proper labelling, classification, and storage of all inventory items.
  • Monitor product expiry dates and implement First-Expiry, First-Out (FEFO) and First-In, First-Out (FIFO) inventory practices where applicable.
  • Report damaged, expired, obsolete, or slow-moving items promptly.

Procurement Support

  • Assist in preparing purchase requisitions based on inventory requirements.
  • Coordinate with the procurement team to ensure timely delivery of supplies.
  • Verify supplier deliveries and report discrepancies immediately.

Compliance and Quality Assurance

  • Ensure compliance with hospital policies, inventory procedures, and regulatory standards.
  • Maintain clean, secure, and well-organized storage facilities.
  • Adhere to health, safety, and infection prevention protocols within the store environment.
  • Safeguard inventory against loss, theft, damage, or misuse.

Collaboration and Administrative Support

  • Work closely with clinical and administrative departments to meet inventory requirements.
  • Respond promptly to departmental requests for supplies.
  • Support continuous improvement initiatives to enhance inventory management processes.
  • Perform other stores and administrative duties as assigned.

Minimum Qualifications

Education

Applicants must possess:

  • A Bachelor’s Degree, Higher National Diploma (HND), or Diploma in Procurement and Supply Chain Management, Logistics, Stores Management, Business Administration, or a related discipline.
  • Professional certification in Procurement or Supply Chain Management will be an added advantage.

Experience

  • Minimum of three (3) years of relevant experience in stores, inventory, warehouse, or logistics management.
  • Experience in a hospital, healthcare facility, pharmacy, or similar environment will be an added advantage.
  • Experience using inventory or ERP management systems is desirable.

Required Skills and Competencies

The successful candidate should demonstrate:

  • Strong knowledge of inventory management and stock control procedures.
  • Proficiency in Microsoft Office applications, particularly Microsoft Excel.
  • Experience using inventory management or ERP software.
  • Excellent numerical, analytical, and record-keeping skills.
  • Strong organizational and time management abilities.
  • High level of accuracy and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Ability to work independently and collaboratively within a multidisciplinary team.
  • High level of integrity, accountability, and professionalism.
