Position Overview

We are seeking a highly organized and professional Administrative Assistant to support front office and administrative operations at our Takoradi office. In this full-time role, you will serve as the first point of contact for visitors and clients, ensuring a welcoming, efficient, and professional office environment.


Key Responsibilities

Front Office & Reception Management

  • Manage the reception area and ensure it remains clean, organized, and welcoming at all times.
  • Receive and attend to visitors, clients, and walk-in guests professionally.
  • Direct visitors to the appropriate departments or personnel promptly and accurately.
  • Handle inquiries about company services in person, via phone, and email.

Administrative Support

  • Maintain an accurate visitor log and manage appointment scheduling.
  • Process incoming and outgoing correspondence, including letters, emails, and packages.
  • Raise and route internal requests to relevant departments for action.
  • Maintain and update office records, filing systems, and documentation.

Office Coordination

  • Support general administrative and clerical tasks as assigned.
  • Ensure smooth day-to-day office operations through effective coordination.
  • Assist in maintaining communication flow between departments.

Candidate Profile

Educational Requirements

  • HND or Diploma in Business Administration, Public Administration, Secretaryship, or a related field.

Skills & Competencies

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills.
  • Professional appearance and courteous demeanor.
  • Excellent organizational and time management abilities.
  • Ability to multitask and remain effective under pressure.
  • Strong attention to detail and reliability.

Experience

  • Prior experience in an administrative, reception, or front office role is an advantage.
