Administrative Officer / Office Manager (Full-Time)

Location: Spintex, Accra, Ghana

Position Summary

We are seeking a highly organized and proactive Administrative Officer / Office Manager to oversee daily administrative operations and support business efficiency across the organization. The successful candidate will play a key role in coordinating office activities, improving operational processes, supporting team productivity, and ensuring the smooth functioning of the office environment.

Key Responsibilities

Office Administration

  • Manage office schedules, calendars, appointments, and administrative workflows.
  • Handle incoming and outgoing correspondence, including emails, letters, and phone communications.
  • Maintain organized filing systems, records, and company documentation.
  • Monitor office supplies and coordinate procurement to ensure uninterrupted operations.
  • Support the implementation of office policies and administrative procedures.

Team Coordination & Support

  • Coordinate meetings, workshops, and internal engagements.
  • Prepare meeting agendas, record minutes, and distribute action points.
  • Follow up on assigned tasks and ensure timely completion of action items.
  • Facilitate communication and collaboration across departments.

Operations & Process Improvement

  • Support the efficient execution of daily business operations.
  • Identify opportunities to improve administrative processes and operational efficiency.
  • Monitor deadlines and ensure projects and administrative activities are completed on schedule.
  • Assist management with reporting, documentation, and organizational planning activities.

Administrative Reporting

  • Prepare routine administrative reports and business updates.
  • Maintain accurate records and support data management initiatives.
  • Assist in tracking operational activities and performance indicators.

Qualifications and Experience

  • HND or Bachelor’s Degree in Business Management, Business Administration, Human Resource Management, Public Administration, or a related field.
  • Minimum of 1–2 years’ experience in administration, office management, operations, or a similar role.
  • Demonstrated ability to manage multiple responsibilities in a fast-paced work environment..

Added Advantage

Candidates with experience in any of the following areas will have an added advantage:

  • Customer Relationship Management (CRM) systems.
  • Budget preparation and administrative cost management.
  • Team leadership or supervisory responsibilities.
  • Operational planning and process improvement initiatives.
