Key Responsibilities
- Greet visitors and determine the purpose of their visit, directing or escorting them appropriately.
- Manage incoming correspondence by opening, reading, and preparing responses to routine letters.
- Locate and attach relevant files to incoming correspondence requiring replies.
- Take, prepare, and distribute meeting minutes to relevant stakeholders.
- Handle and distribute incoming and outgoing mail efficiently.
- Create and maintain organized electronic and paper filing systems for records, reports, and documents.
- Transmit information and documents via email, mail, or fax as required.
- Prepare professional letters, memos, reports, and presentations using Microsoft Office tools.
- Enter and retrieve data from computer systems, ensuring records, files, and reservations are accurately updated.
- Operate office equipment such as telephones, photocopiers, fax machines, calculators, and related tools.
- Document and communicate guest requests, feedback, and complaints to appropriate personnel promptly.
Qualifications and Requirements
- Strong administrative and organizational skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Ability to manage confidential information with discretion and professionalism.
- Strong multitasking and time-management abilities.
- Previous experience in administrative support or executive assistance is an advantage.
- Ability to work effectively in a fast-paced, service-driven environment.
