Role Overview

We are seeking a highly organized, strategic, and results-oriented Executive Secretary to lead the Secretariat and drive the execution of the Chamber’s strategic priorities. The successful candidate will play a pivotal role in strengthening institutional effectiveness, supporting governance structures, and enhancing stakeholder engagement while positioning the Chamber as a leading voice for SMEs.


Key Responsibilities

Secretariat Leadership & Administration

  • Lead and manage the Secretariat to ensure efficient and responsive operations.
  • Establish and strengthen administrative systems and institutional processes.
  • Maintain accurate records and enhance institutional memory.

Governance & Board Support

  • Serve as Secretary to the Board and its Committees.
  • Coordinate Board meetings, prepare documentation, and track action points.
  • Ensure compliance with governance frameworks and statutory obligations.

Strategy Execution & Coordination

  • Drive the implementation of strategic initiatives and programmes.
  • Monitor and track execution of Board and leadership decisions.
  • Coordinate cross-functional activities to ensure alignment and delivery.

Membership Administration & Growth

  • Oversee membership systems, onboarding, and engagement strategies.
  • Drive initiatives to enhance member value, retention, and growth.
  • Maintain accurate and up-to-date membership databases.

Stakeholder & Institutional Engagement

  • Coordinate engagement with government bodies, financial institutions, and partners.
  • Support the development and execution of strategic partnerships.

Programme & Event Coordination

  • Lead the planning and execution of forums, training programmes, and policy dialogues.
  • Ensure all events align with organizational objectives and deliver measurable impact.

Digital Communication, Content & Brand Visibility

  • Utilize Microsoft Office tools to produce high-quality reports, presentations, and communications.
  • Leverage AI tools to enhance productivity, analytics, and communication effectiveness.
  • Develop and manage digital and social media strategies to promote the Chamber.
  • Create compelling content (articles, reports, presentations, and multimedia) to position the Chamber as a thought leader.
  • Drive brand awareness, engagement, and top-of-mind awareness (TOMA).

Representation & Spokesperson Role

  • Represent the Chamber in public forums and stakeholder engagements.
  • Act as spokesperson where authorized, ensuring alignment with institutional positions.

Financial & Administrative Oversight

  • Support budgeting processes and promote financial discipline.
  • Oversee procurement and general administrative functions.

Core Competencies

  • Strong organizational and execution capability.
  • Excellent communication and writing skills.
  • High level of digital fluency (MS Office, AI tools, and social platforms).
  • Strong stakeholder management and influencing skills.
  • Sound knowledge of governance and administration.

Key Performance Indicators (KPIs)

  • Efficiency and responsiveness of Secretariat operations.
  • Execution rate of strategic initiatives.
  • Membership growth and engagement levels.
  • Effectiveness of stakeholder engagement.
  • Growth in digital visibility, engagement, and brand presence.
  • Quality and consistency of external representation.

Qualifications

  • Bachelor’s degree in Business Administration, Economics, Development Studies, Finance, Public Policy, or a related field.
  • A Master’s degree is an added advantage.

Experience

  • Minimum of four (4) years’ experience in SME development, programme management, consulting, financial services, NGOs, business associations, or related fields.
