Job Purpose
The Front Desk Officer serves as the first point of contact for visitors, clients, and staff, creating a professional and welcoming environment at all times. The role supports front office operations, administrative coordination, and executive-level assistance while ensuring efficiency, confidentiality, and excellent customer service.
Key Responsibilities
The Front Desk Officer will:
Greet, welcome, and direct visitors and clients in a professional and courteous manner.
Manage incoming calls, correspondence, and inquiries efficiently.
Maintain a well-organized and professional reception area.
Coordinate meeting room bookings and provide logistical support for meetings and events.
Maintain accurate records, files, and documentation in line with company standards.
Support HR and administrative functions, including documentation, onboarding coordination, and staff records management.
Prepare reports, analyze basic administrative data, and maintain reporting dashboards as required.
Provide executive-level coordination support, including scheduling, correspondence preparation, and follow-ups.
Monitor office supplies and liaise with vendors to ensure operational continuity.
Ensure confidentiality of sensitive company and employee information.
Contribute to continuous improvement of front desk and administrative processes.
Perform any other duties assigned to support departmental efficiency.
Educational & Professional Requirements
Minimum of a First Degree in Hospitality Management, Business Administration, Human Resource Management, or a related discipline from a recognized university.
Minimum of two (2) to five (5) years of progressive experience in front desk, administrative, or HR support roles.
Demonstrated experience in data analysis, reporting, records management, and executive-level coordination.
