Job Purpose

The Front Desk Officer serves as the first point of contact for visitors, clients, and staff, creating a professional and welcoming environment at all times. The role supports front office operations, administrative coordination, and executive-level assistance while ensuring efficiency, confidentiality, and excellent customer service.


Key Responsibilities

The Front Desk Officer will:

  • Greet, welcome, and direct visitors and clients in a professional and courteous manner.

  • Manage incoming calls, correspondence, and inquiries efficiently.

  • Maintain a well-organized and professional reception area.

  • Coordinate meeting room bookings and provide logistical support for meetings and events.

  • Maintain accurate records, files, and documentation in line with company standards.

  • Support HR and administrative functions, including documentation, onboarding coordination, and staff records management.

  • Prepare reports, analyze basic administrative data, and maintain reporting dashboards as required.

  • Provide executive-level coordination support, including scheduling, correspondence preparation, and follow-ups.

  • Monitor office supplies and liaise with vendors to ensure operational continuity.

  • Ensure confidentiality of sensitive company and employee information.

  • Contribute to continuous improvement of front desk and administrative processes.

  • Perform any other duties assigned to support departmental efficiency.


Educational & Professional Requirements

  • Minimum of a First Degree in Hospitality Management, Business Administration, Human Resource Management, or a related discipline from a recognized university.

  • Minimum of two (2) to five (5) years of progressive experience in front desk, administrative, or HR support roles.

  • Demonstrated experience in data analysis, reporting, records management, and executive-level coordination.
