Location: Koforidua, Ghana

We are seeking a proactive and highly organized Hostel Administrator to oversee the efficient management and operation of our hostel facility in Koforidua.
Position Summary
As Hostel Administrator, you will lead the day-to-day operations of the hostel, ensuring a safe, comfortable, and well-maintained living environment for residents. You will oversee facility operations, tenant administration, financial management, maintenance coordination, and regulatory compliance while delivering outstanding customer service and operational excellence.

Key Responsibilities
Facility Management & Operations
- Oversee the daily operations and administration of the hostel facility.
- Ensure hostel facilities, utilities, and common areas are maintained to a high standard and operate efficiently.
- Coordinate preventive and corrective maintenance activities.
- Supervise contractors, maintenance personnel, cleaners, and other service providers.
- Conduct routine inspections to identify maintenance needs and operational improvement opportunities.
- Monitor utility consumption and promote efficient resource utilization.
Tenant & Resident Management
- Manage resident inquiries, applications, admissions, and room allocations.
- Coordinate resident onboarding and orientation processes.
- Maintain accurate occupancy records and resident databases.
- Address resident concerns, complaints, and grievances promptly and professionally.
- Foster positive resident relationships and deliver exceptional customer service.
- Monitor compliance with hostel rules, policies, and occupancy agreements.
Property & Estate Management
- Apply sound estate management practices to protect and enhance property value.
- Conduct periodic property inspections and prepare maintenance reports.
- Develop and implement preventive maintenance schedules.
- Monitor asset conditions and recommend repairs, renovations, and property improvements.
- Support long-term property sustainability and management initiatives.
Financial Administration
- Manage rent collection processes and ensure timely payments.
- Maintain accurate records of income, expenses, and financial transactions.
- Coordinate utility billing and payment administration.
- Monitor operational expenditures and support budget management activities.
- Prepare periodic financial and occupancy reports for management review.
- Follow up on outstanding payments and resolve billing discrepancies.
Health, Safety & Regulatory Compliance
- Ensure compliance with health, safety, fire, and regulatory requirements.
- Implement and monitor workplace and residential safety procedures.
- Conduct regular safety inspections and risk assessments.
- Maintain emergency response procedures and safety equipment.
- Liaise with regulatory agencies, utility providers, and local authorities when required.
Administrative & Reporting Functions
- Maintain accurate property, tenant, maintenance, and financial records.
- Prepare monthly operational, occupancy, and maintenance reports.
- Manage contracts, tenancy agreements, correspondence, and hostel documentation.
- Support management with operational planning and continuous improvement initiatives.
- Perform additional duties as required to support hostel operations and organizational objectives.
Qualifications & Experience
Educational Requirements
- Bachelor’s Degree or Higher National Diploma (HND) in:
- Estate Management
- Land Economy
- Property Management
- Facilities Management
- Real Estate Management
- Or a related discipline
Experience
- Minimum of 2–3 years of relevant experience in:
- Property Management
- Estate Administration
- Hostel Administration
- Facilities Management
- Residential Property Operations
- Experience managing student hostels, residential facilities, apartments, or commercial properties will be an added advantage.
