Position Summary
As the Office / HR Manager, you will oversee all aspects of human resource management, office administration, employee engagement, and operational support. You will play a critical role in ensuring efficient business operations, enhancing employee experiences, supporting organizational growth, and maintaining compliance with employment regulations and company policies.
Key Responsibilities
Human Resource Management
- Coordinate and manage end-to-end recruitment, selection, and onboarding processes.
- Prepare and publish job advertisements across approved recruitment channels.
- Screen applications, coordinate interviews, and manage candidate communications.
- Lead employee onboarding and orientation programs.
- Maintain accurate employee records, personnel files, and HR databases.
- Support performance management processes, including appraisals, reviews, and development plans.
- Assist with employee relations matters, disciplinary processes, grievance handling, and conflict resolution.
- Ensure the effective implementation of HR policies, procedures, and organizational standards.
- Support employee engagement, retention, learning, and talent development initiatives.
Office Administration & Operations Management
- Oversee the smooth and efficient day-to-day operation of the office.
- Ensure office facilities, equipment, and workspaces remain functional and well maintained.
- Coordinate office logistics, supplies, utilities, and administrative services.
- Supervise office assistants, drivers, cleaners, and other support personnel where applicable.
- Manage office calendars, meetings, appointments, and internal communications.
- Maintain organized filing systems and records management processes.
- Coordinate travel, accommodation, and logistical arrangements as required.
Employee Engagement & Workplace Culture
- Promote a positive, inclusive, and high-performance workplace culture.
- Serve as a key point of contact for employee welfare and workplace concerns.
- Coordinate employee engagement initiatives, wellness programs, team-building activities, and staff events.
- Support initiatives that improve employee satisfaction, morale, and productivity.
- Foster strong communication and collaboration across teams and departments.
Payroll & Benefits Administration
- Maintain accurate attendance, leave, and employee records to support payroll processing.
- Monitor annual leave, sick leave, maternity leave, and other absences.
- Ensure proper documentation and approval of leave requests.
- Coordinate payroll-related information, staff allowances, reimbursements, and deductions with finance personnel.
- Support the administration of employee benefits and staff welfare programs.
Compliance, Policy Implementation & Governance
- Ensure compliance with company policies, procedures, and professional standards.
- Support adherence to Ghana Labour Laws and workplace regulations.
- Assist in developing, reviewing, and updating HR policies, employee handbooks, and administrative procedures.
- Maintain strict confidentiality of employee and organizational information.
- Support internal audits, compliance reviews, and governance initiatives.
Procurement & Asset Management
- Coordinate procurement activities for office supplies, equipment, furniture, and service contracts.
- Manage relationships with vendors, suppliers, and service providers.
- Maintain an accurate inventory of company assets and office equipment.
- Monitor asset allocation, maintenance schedules, and replacement requirements.
- Ensure the efficient use and safeguarding of company resources.
Front Office & Corporate Communication
- Ensure visitors, clients, consultants, and business partners receive a professional welcome and experience.
- Oversee office correspondence, telephone communications, and email administration.
- Prepare official letters, memoranda, reports, meeting minutes, and administrative documentation.
- Maintain a professional image and represent the organization positively at all times.
General Operational Support
- Support management in implementing strategic and operational initiatives.
- Coordinate logistics for meetings, workshops, training sessions, and corporate events.
- Prepare periodic HR and administrative reports for management review.
- Undertake additional projects and responsibilities as assigned.
Qualifications & Experience
Educational Requirements
- Bachelor’s Degree in Human Resource Management, Business Administration, Management, Public Administration, Organizational Development, or a related field.
Professional Certifications
Professional certifications will be an added advantage, including:
- CIPD (Chartered Institute of Personnel and Development)
- SHRM Certification
- CHRMP
- HRCI Certifications
- Any recognized Human Resource Management qualification
Experience
- Minimum of 3–5 years of relevant experience in Human Resource Management, Office Administration, Operations Management, or a related role.
- Experience within a consulting firm, legal services organization, professional services environment, NGO, or corporate institution will be highly advantageous.
- Demonstrated experience managing both HR and administrative functions simultaneously.
