Position Summary
IOM Ghana is seeking a proactive and detail-oriented Supply Chain Assistant to support procurement, logistics, asset management, and supply chain operations across its offices in Accra and Tamale. Working under the overall supervision of the Chief of Mission and the direct supervision of the Supply Chain Officer (SCO), the successful candidate will contribute to the efficient and compliant delivery of procurement and logistics services in support of the Organization’s programmes and operations.
Key Responsibilities
The successful candidate will:
- Identify and evaluate local suppliers and service providers to ensure compliance with IOM quality, pricing, delivery, and operational requirements.
- Monitor vendor performance and recommend improvements to procurement processes.
- Liaise with governmental, intergovernmental, and non-governmental organizations to leverage procurement and logistics networks when required.
- Coordinate with the Senior Resources Management Officer (SRMO) and Supply Chain Officer in planning procurement and logistics requirements.
- Prepare Purchase Orders (POs) and verify payment terms, delivery schedules, and contractual conditions.
- Ensure all procurement transactions receive the required approvals before processing.
- Monitor purchase order status and proactively address supply chain issues that may affect delivery schedules.
- Track and report on procurement and service delivery performance.
- Support asset inventory management, tracking, and verification activities.
- Maintain accurate procurement records, filing systems, and project-related documentation.
- Ensure proper inventory and retrieval of vendor vouchers and supporting documents for audit and payment purposes.
- Coordinate customs clearance processes for international shipments and facilitate exemption requests with relevant authorities, including the Ministry of Foreign Affairs.
- Coordinate travel and relocation logistics for arriving and departing staff members.
- Provide administrative and operational support to the Supply Chain Unit as required.
- Perform other duties assigned by supervisors in support of organizational objectives.
Qualifications and Experience
Education
Applicants must possess either:
- A University Degree in Supply Chain Management, Business Administration, Management, or a related field from an accredited institution with a minimum of three (3) years of relevant professional experience; or
- A Senior High School Certificate or equivalent qualification with at least five (5) years of relevant professional experience.
Professional certification or specialized training in Supply Chain Management, Procurement, Logistics, or a related discipline will be an advantage.
Experience
Applicants should demonstrate:
- Experience in supply chain management, procurement, logistics, or related operations.
- Experience working within international organizations, the United Nations system, or humanitarian agencies, which will be considered an advantage.
- Knowledge of procurement procedures within government or international organizational settings.
- Proficiency in WAVE and Microsoft Office applications, particularly Word and Excel.
- Working knowledge of PowerPoint, Visio, or related business applications is desirable.
- Strong organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Languages
- Fluency in English (written and spoken) is required.
- Working knowledge of French is an advantage.
