Role Overview

AFIDEP seeks a highly organized, proactive, and strategic Executive Assistant to support the Executive Director. The successful candidate will serve as a trusted partner, ensuring the effective coordination of executive priorities, governance processes, and high-level engagements. This role requires discretion, initiative, and the ability to operate in a fast-paced, multi-stakeholder environment.


Key Responsibilities

  • Strategically manage the Executive Director’s schedule, correspondence, meetings, and travel to optimize time and institutional priorities
  • Serve as the central coordination point for the Executive Director’s Office, ensuring timely follow-through on delegated actions and strategic commitments
  • Prepare, review, and manage confidential briefs, reports, presentations, and correspondence
  • Coordinate Senior Management Team (SMT) meetings, including agenda setting, documentation, minute-taking, and tracking of action points
  • Provide governance support to the Board of Directors, including meeting coordination, documentation, minutes, and follow-up actions
  • Support internal and external engagements through high-quality communication and briefing materials
  • Collaborate with the Resource Mobilization Manager to support fundraising and partnership efforts
  • Maintain robust information management systems for executive and governance records
  • Uphold the highest standards of confidentiality, professionalism, and stakeholder engagement
  • Provide administrative and operational support to ensure seamless functioning of the Executive Director’s Office

Qualifications & Experience

  • Master’s degree in Business Administration, Communications, Strategic Management, Project Management, or a related field
  • Minimum of five (5) years’ experience supporting senior executives in complex, fast-paced environments
  • Strong expertise in strategic coordination, writing, reporting, and organizational management
  • Excellent judgment, time management, communication, and travel coordination skills
  • Proven ability to manage competing priorities and anticipate executive needs
  • Experience working in multicultural and multi-stakeholder environments
