Job Summary
OCEANA Ghana seeks a highly organized, proactive, and detail-oriented Executive & Operations Coordinator to support senior leadership and oversee day-to-day operational coordination. The successful candidate will ensure smooth administrative operations, facilitate effective communication, and strengthen organizational efficiency in a fast-paced, mission-driven environment.
Key Responsibilities
- Coordinate executive schedules, meetings, travel arrangements, and priorities with accuracy and efficiency
- Manage day-to-day office operations to ensure smooth workflow across teams
- Support planning, execution, and follow-up of internal and external meetings and events
- Prepare, edit, and organize reports, presentations, correspondence, and briefing materials
- Maintain organized filing systems and manage digital platforms and shared resources
- Track action items, deadlines, and deliverables, ensuring timely follow-up
- Conduct research and synthesize information to support decision-making and campaigns
- Facilitate communication across teams, partners, and stakeholders with professionalism
- Support project management activities and contribute to process improvement initiatives
- Assist in travel coordination and logistics using online booking systems
Requirements
- Bachelor’s degree in a relevant field
- At least 5 years of experience as an executive assistant, operations assistant, office coordinator, or equivalent combination of education and administrative experience
- Strong ability to manage multiple tasks simultaneously with speed, accuracy, and professionalism
- Demonstrated initiative, adaptability, and ability to manage shifting priorities
- High emotional intelligence and strong interpersonal communication skills
- Excellent written and verbal communication skills, including email and meeting facilitation
- Strong organizational and project management skills with ability to break down complex tasks into actionable steps
- Advanced proficiency in Microsoft Office Suite, Zoom, and SharePoint
- Experience with online travel booking tools and web-based research required
- Salesforce experience is an added advantage
- Ability to work across cultural boundaries with diplomacy and flexibility
- Experience in copy-editing and presentation preparation is an advantage
- Strong problem-solving skills and proactive mindset in improving workflows
- Must possess valid authorization to work in Ghana
