Job Summary

OCEANA Ghana seeks a highly organized, proactive, and detail-oriented Executive & Operations Coordinator to support senior leadership and oversee day-to-day operational coordination. The successful candidate will ensure smooth administrative operations, facilitate effective communication, and strengthen organizational efficiency in a fast-paced, mission-driven environment.


Key Responsibilities

  • Coordinate executive schedules, meetings, travel arrangements, and priorities with accuracy and efficiency
  • Manage day-to-day office operations to ensure smooth workflow across teams
  • Support planning, execution, and follow-up of internal and external meetings and events
  • Prepare, edit, and organize reports, presentations, correspondence, and briefing materials
  • Maintain organized filing systems and manage digital platforms and shared resources
  • Track action items, deadlines, and deliverables, ensuring timely follow-up
  • Conduct research and synthesize information to support decision-making and campaigns
  • Facilitate communication across teams, partners, and stakeholders with professionalism
  • Support project management activities and contribute to process improvement initiatives
  • Assist in travel coordination and logistics using online booking systems

Requirements

  • Bachelor’s degree in a relevant field
  • At least 5 years of experience as an executive assistant, operations assistant, office coordinator, or equivalent combination of education and administrative experience
  • Strong ability to manage multiple tasks simultaneously with speed, accuracy, and professionalism
  • Demonstrated initiative, adaptability, and ability to manage shifting priorities
  • High emotional intelligence and strong interpersonal communication skills
  • Excellent written and verbal communication skills, including email and meeting facilitation
  • Strong organizational and project management skills with ability to break down complex tasks into actionable steps
  • Advanced proficiency in Microsoft Office Suite, Zoom, and SharePoint
  • Experience with online travel booking tools and web-based research required
  • Salesforce experience is an added advantage
  • Ability to work across cultural boundaries with diplomacy and flexibility
  • Experience in copy-editing and presentation preparation is an advantage
  • Strong problem-solving skills and proactive mindset in improving workflows
  • Must possess valid authorization to work in Ghana
