Job Summary
The Procurement Officer will support the procurement and administrative functions of the organization by ensuring transparent, efficient, and compliant acquisition of goods and services. The role will manage procurement documentation, support supplier engagement, and ensure adherence to internal policies and donor regulations while maintaining high standards of integrity and accountability.

Key Responsibilities
Procurement Support
- Support the recruitment and engagement of consultants and experts, including preparation and publication of advertisements
- Prepare procurement documents including Requests for Quotations (RFQs), Requests for Proposals (RFPs), bid evaluation summaries, and purchase orders in line with organizational and donor guidelines
- Assist in sourcing, due diligence, and evaluation of suppliers and vendors
- Support the preparation, review, and administration of procurement contracts
- Participate in contract negotiation meetings and provide administrative support
- Maintain, organize, and securely archive procurement records for easy access and compliance
- Update and manage the online procurement system and vendor database, including supplier classification and performance tracking
- Monitor procurement activities and follow up on outstanding actions to ensure timely execution
- Support contract management processes and ensure full compliance with procurement procedures
Administrative Support
- Support the organization of meetings, workshops, and official events
- Provide general administrative support including filing, correspondence management, photocopying, scanning, and record keeping
- Perform additional administrative duties as assigned
Requirements
- Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or a related field
- Knowledge of procurement principles, donor regulations, and contract management processes
- Strong organizational and documentation skills
- Proficiency in Microsoft Office Suite and procurement management systems
- Strong attention to detail and ability to work with accuracy under deadlines
- Good communication and interpersonal skills
- Ability to work collaboratively in a multicultural and professional environment
