Role Summary

The Clinic Operations Director will lead and oversee operational performance, clinic integrations, compliance management, and quality assurance across the Rivia Clinics network. The successful candidate will drive operational consistency, strengthen compliance standards, oversee onboarding of new clinics, and ensure full adoption of RiviaOS across all facilities while maintaining high standards of patient safety and service delivery.

Key Responsibilities

Clinic Onboarding & Integration

• Lead the onboarding and integration of new clinics across branding, RiviaOS implementation, fee structures, and referral protocols prior to launch
• Coordinate onboarding timelines and ensure clinics achieve operational readiness within compliance standards
• Manage multiple clinic integrations simultaneously while maintaining operational accuracy and consistency

Operational Leadership

• Oversee daily operations across the clinic network and make independent operational decisions to maintain performance standards
• Ensure operational consistency across all clinics with zero unresolved branding or operational deviations
• Collaborate with clinic teams to strengthen service delivery, efficiency, and patient experience

Compliance & Quality Assurance

• Conduct regular operational and compliance audits across all clinics
• Implement corrective action plans and monitor closure timelines effectively
• Establish and maintain quality assurance frameworks focused on patient safety, service consistency, and operational excellence
• Ensure adherence to Rivia operational standards, policies, and regulatory requirements
• Monitor patient safety indicators, record accuracy, and service delivery standards across all facilities

RiviaOS & Referral Oversight

• Ensure full and proper utilisation of RiviaOS for patient records, appointments, and continuity of care
• Eliminate operational workarounds and enforce standard system usage across all clinics
• Monitor referral activity and ensure compliance with in-chain provider referral standards

Reporting & Continuous Improvement

• Deliver operational, compliance, and quality assurance reports to leadership
• Identify structural gaps proactively and recommend process improvements
• Maintain and continuously update the Rivia Clinic Blueprint as the operational standard across all clinics
• Drive continuous improvement initiatives that strengthen operational efficiency and service quality

Preferred Candidate Profile

• Bachelor’s degree in Healthcare Administration, Business Administration, Operations Management, Public Health, or a related field
• Minimum of 5 years’ experience leading operations across multiple locations, preferably within healthcare or clinic environments
• Strong experience with EMR systems or clinic management platforms
• Demonstrated ability to implement and monitor quality assurance frameworks and compliance programmes
• Proven leadership experience managing operational standards across multiple sites
• Strong organisational, analytical, and stakeholder management capabilities

Success Metrics

• Achieve onboarding compliance within 90 days from onboarding start to full compliance sign-off
• Ensure 100% of new clinics launch fully operational on RiviaOS
• Maintain operational consistency across all existing clinics with no unresolved operational deviations
• Achieve a minimum 90% in-chain referral rate across all clinics
• Maintain fewer than two critical compliance issues per clinic at 30-day post-launch reviews
• Achieve at least 95% audit pass rates across all clinics
• Ensure corrective actions close within 30 days of audit findings
• Maintain patient safety compliance scores above 90% and patient satisfaction ratings above 85%
• Implement documented process improvements across at least 80% of clinics annually

First 30-Day Deliverables

Day 10 – Comprehensive Operational Audit

Conduct a full operational and compliance audit across all clinics, including patient safety, record accuracy, service delivery standards, and operational consistency. Initiate corrective action plans where required.

Day 20 – Blueprint & Quality Assurance Framework

Develop and secure approval for Version 1 of the Rivia Clinic Blueprint, integrating operational and quality assurance standards including audit cycles, corrective action timelines, and patient satisfaction monitoring.

Day 30 – Clinic Onboarding & Compliance Reporting

Lead the onboarding of a new clinic from initiation through launch, ensuring full integration into RiviaOS and compliance with operational and quality assurance standards. Deliver a comprehensive operational and compliance report to leadership.
