Position Summary
Spark Microgrants is seeking a highly organized and detail-oriented Finance and Administration Officer to support financial management, administrative operations, logistics coordination, and partner capacity development in Ghana. The successful candidate will ensure strong financial stewardship, efficient office operations, compliance with organizational policies, and effective support for program delivery.

Key Responsibilities
Finance Management
- Manage banking and accounting processes, including daily bookkeeping, cash reconciliations, and bank correspondence in Ghana.
- Oversee monthly financial close processes and ensure accurate account reconciliations.
- Participate in internal and external audit processes and ensure timely provision of documentation.
- Support the annual planning and budgeting process.
- Prepare cash flow forecasts to ensure sufficient funding for operational and programmatic needs.
- Review periodic financial reports from implementing partners and take appropriate action on performance issues.
- Provide financial training and capacity-building support to partner staff on budgeting, reporting, and fund management.
Administration & Logistics
- Oversee daily administrative operations of Spark Ghana, ensuring smooth office functioning.
- Support onboarding processes for new staff, including workspace setup and resource allocation.
- Coordinate logistics for program activities, including travel, transportation, and accommodation arrangements.
- Manage office inventory, ensuring availability of supplies and program materials.
- Supervise maintenance and functionality of office equipment, including computers, printers, and communication devices.
- Ensure proper maintenance of office facilities in compliance with health and safety standards.
- Manage procurement processes from needs identification to purchase execution.
- Ensure procurement activities comply with Spark policies and financial regulations.
- Negotiate and manage vendor contracts to ensure cost-effectiveness and timely delivery of goods and services.
- Maintain strong relationships with suppliers and service providers to ensure quality standards.
- Process and verify invoices and ensure timely payment in line with contractual obligations.
Qualifications and Experience
Essential Requirements
- Bachelor’s Degree in Accounting, Finance, Business Administration, Supply Chain Management, or a related field.
- Minimum of four (4) years of relevant professional experience in finance and administration.
- Strong understanding of accounting principles, financial systems, and Ghana tax regulations.
- Experience in procurement processes and best practices.
- High level of integrity, ethics, and professionalism.
- Strong collaboration, interpersonal, and stakeholder management skills.
- Excellent organizational skills with strong attention to detail and planning ability.
Technical Proficiency
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Experience with Google Workspace (Docs, Sheets, Slides, Forms).
- Familiarity with collaboration and project management tools such as Slack, Trello, or Asana.
- Ability to use digital tools to improve efficiency and reporting accuracy.
Communication Skills
- Excellent written and verbal communication skills in English.
- Ability to communicate clearly, concisely, and effectively with diverse audiences.
- Strong reporting and documentation skills.
