Position Summary
The Procurement Officer will manage procurement activities from requisition through delivery, ensuring that goods and services are sourced efficiently, cost-effectively, and in compliance with company policies and procedures. The successful candidate will play a key role in supplier management, contract administration, inventory coordination, and procurement reporting while maintaining high standards of quality, compliance, and operational excellence.
Key Responsibilities
Procurement Operations
- Prepare, review, and issue Purchase Orders (POs) in accordance with approved requisitions and authorization limits.
- Ensure procurement documentation is complete, accurate, and appropriately approved before processing.
- Manage the end-to-end procurement cycle from requisition through delivery.
- Coordinate with internal departments to understand procurement requirements, priorities, and timelines.
- Ensure procurement activities comply with company policies, procedures, and internal controls.
- Monitor procurement schedules to support uninterrupted operational activities.
Supplier & Contract Management
- Develop, review, and manage supplier contracts and service agreements.
- Build and maintain strong supplier relationships to achieve competitive pricing, quality assurance, and timely delivery.
- Evaluate supplier performance and recommend improvements where necessary.
- Support supplier sourcing, selection, and negotiation activities.
- Maintain accurate supplier records, including contracts, pricing information, and contact details.
Inventory & Goods Receipt Coordination
- Verify Goods Received Notes (GRNs) against purchase orders and delivery documentation.
- Conduct inventory checks and support stock verification activities.
- Coordinate with warehouse and stores personnel to ensure accurate recording of received goods.
- Monitor inventory-related procurement activities to support effective stock control.
- Assist in resolving discrepancies involving deliveries, quantities, specifications, or documentation.
Invoice Processing & Payment Coordination
- Review supplier invoices to ensure consistency with approved purchase orders, contracts, and Goods Received Notes.
- Process verified invoices for payment in collaboration with the Finance Department.
- Ensure payments are processed within agreed timelines and in accordance with company procedures.
- Maintain accurate records of procurement transactions and supplier payments.
Reporting, Compliance & Quality Assurance
- Maintain comprehensive records of procurement activities to support reporting, audits, and management decision-making.
- Prepare procurement reports and updates as required by management.
- Ensure all procured goods meet required quality standards, specifications, and food safety requirements.
- Support internal and external audits by providing accurate procurement documentation.
- Monitor procurement activities to ensure transparency, accountability, and compliance with company policies.
Qualifications & Experience
Educational Requirements
- Bachelor’s Degree or Higher National Diploma (HND) in:
- Procurement and Supply Chain Management
- Purchasing and Supply
- Logistics and Supply Chain Management
- Business Administration
- Or a related discipline from a recognized institution
Professional Experience
- Minimum of two (2) to three (3) years of relevant experience in:
- Procurement
- Purchasing
- Supply Chain Management
- Inventory Management
- Vendor Administration
- Experience within agriculture, manufacturing, FMCG, or a similar operational environment will be an advantage.
- Demonstrated experience in supplier management, contract administration, inventory control, and procurement reporting.
Knowledge, Skills & Competencies
Technical Competencies
- Strong understanding of procurement principles and sourcing methodologies.
- Knowledge of contract management and supplier relationship management.
- Understanding of inventory management practices and stock control procedures.
- Ability to evaluate quotations, supplier proposals, and procurement data.
- Proficiency in Microsoft Office Suite, particularly Microsoft Excel.
- Experience using ERP systems, Factura, or procurement management software will be an advantage.
- Strong reporting and documentation skills.

Additional Requirements
- Must reside in Wa or be willing to relocate to Wa.
- Must be willing to travel periodically to operational sites and supplier locations as required.
- Possession of a valid driver’s license will be an added advantage.
