Key Responsibilities
You will:
- Coordinate travel arrangements for staff, delegates, consultants, and official visitors in accordance with AU policies and procedures.
- Support travel planning, itinerary preparation, and logistics coordination for meetings, conferences, workshops, and official missions.
- Assist with flight bookings, accommodation arrangements, airport transfers, and related travel services.
- Maintain accurate travel records, reports, and documentation.
- Liaise with travel service providers, airlines, hotels, and other stakeholders to ensure efficient travel support.
- Monitor travel requests and ensure timely processing and approval of travel-related documentation.
- Support administrative activities related to transportation, logistics, and fleet management.
- Provide timely information and assistance to travelers regarding travel policies, procedures, and requirements.
- Prepare reports and administrative documents as required.
- Ensure compliance with organizational policies, regulations, and operational standards.
- Perform other administrative and travel-related duties as assigned.
Qualifications & Experience
Applicants must possess:
- A University Diploma in Transportation, Logistics, Fleet Management, Tourism Administration, or a related field.
- A minimum of three (3) years of relevant experience in administrative, travel, logistics, or transportation-related roles within an international organization or a similar environment.
Required Skills and Competencies
The ideal candidate will demonstrate:
- Strong communication, report-writing, and presentation skills.
- Excellent planning, organizational, and coordination abilities.
- Strong research and analytical skills.
- Effective interpersonal and negotiation skills.
- Proficiency in Microsoft Office Suite and African Union information technology systems.
- Experience using digital systems and databases to manage operational processes.
- Knowledge of Applicant Tracking Systems (ATS) or SAP SuccessFactors will be an added advantage.
- Strong attention to detail and commitment to accuracy.
- Ability to manage multiple priorities while maintaining high service standards.
- Professionalism, discretion, and a customer-focused approach.
Language Requirements
Applicants must be fluent in at least one of the African Union’s official working languages:
- English
- French
- Portuguese
- Spanish
- Swahili
- Arabic
Fluency in an additional African Union language will be considered an advantage.
