We are seeking a highly organised and experienced Assistant Registrar to support the effective management of academic administration and Registry operations while contributing to continuous service improvement across the University.

Position Summary

The Assistant Registrar will play a key role in ensuring the effective administration of academic processes and student records in accordance with University regulations and external regulatory requirements. The successful candidate will support academic governance, oversee Registry operations, manage academic systems, and provide leadership to Registry staff to deliver efficient and high-quality services to students, faculty, and other stakeholders.

Key Responsibilities

You will:

  • Manage assessment moderation processes, academic integrity procedures, and examination boards in accordance with institutional policies.
  • Oversee student progression, academic standing, and results processing while ensuring compliance with University regulations.
  • Coordinate academic misconduct hearings and mitigating circumstances processes, ensuring fairness, consistency, and due process.
  • Ensure compliance with academic regulations and the requirements of external regulatory and professional bodies, including GTEC, ACCA, CIMA, and the Ghana Legal Council (GLC).
  • Manage student registration, enrolment, withdrawals, transfers, graduation processes, and the maintenance of accurate academic records.
  • Support internal audits, accreditation exercises, and quality assurance initiatives.
  • Manage and optimise academic systems, including Event Map/Tabler, Moodle, and the Management Information System (MIS), to improve operational efficiency and service delivery.
  • Respond to complex student enquiries relating to academic records, verifications, appeals, and academic regulations.
  • Supervise Registry staff by providing leadership, coaching, performance management, and professional development support.
  • Prepare reports and contribute to governance, compliance, strategic planning, and continuous improvement initiatives within the Registry.
  • Act on behalf of the Registrar when required, including making operational and administrative decisions to ensure continuity of Registry services.
  • Build strong working relationships with academic departments, professional services, students, and external stakeholders to support effective University operations.

Qualifications and Experience

The successful candidate will have:

  • A minimum of a master’s degree in Information Systems, Higher Education Administration, Business Administration, Public Administration, or a related discipline.
  • Professional certification in a relevant field will be an added advantage.
  • A minimum of three (3) years’ experience in academic administration or Registry functions within a recognised higher education institution.
  • Strong understanding of academic regulations, Registry operations, student records management, and university governance.
  • Experience supporting quality assurance, accreditation, and regulatory compliance activities.
  • Knowledge of higher education information systems, including student records and learning management systems.
  • Excellent organisational, analytical, and problem-solving skills.
  • Strong interpersonal and stakeholder management skills.
  • Excellent written and verbal communication skills.
  • High level of integrity, professionalism, and attention to detail.
  • Proficiency in Microsoft Office Suite and academic management systems.
