Position Summary
We are seeking an experienced and highly organized Administrative Manager to lead and oversee the company’s administrative operations. The successful candidate will drive operational efficiency by managing office administration, facilities, fleet, procurement, corporate services, and workplace safety while ensuring the effective delivery of administrative support across the organization.

Key Responsibilities
Administration & Office Management
- Lead and oversee the company’s day-to-day administrative operations.
- Develop, implement, and continuously improve administrative policies, procedures, and systems.
- Manage office facilities, warehouses, and staff accommodation to ensure efficient operations.
- Prepare departmental budgets, forecasts, and administrative reports for management.
- Monitor administrative expenditures and identify opportunities to optimize costs.
- Ensure effective records management and maintain accurate administrative documentation.
Facilities & Asset Management
- Oversee the maintenance of offices, buildings, utilities, furniture, equipment, and company facilities.
- Maintain an accurate and up-to-date asset register.
- Coordinate office renovations, repairs, and workspace planning initiatives.
- Ensure company assets are properly utilized, maintained, and safeguarded.
Fleet & Logistics Management
- Manage company vehicles, drivers, fuel consumption, servicing, insurance, licensing, and maintenance schedules.
- Coordinate transportation and travel arrangements for employees, visitors, and business activities.
- Monitor fleet performance and implement cost-effective fleet management strategies.
Procurement & Vendor Management
- Support the procurement of administrative goods, equipment, and services.
- Identify, evaluate, negotiate, and manage relationships with suppliers and service providers.
- Monitor vendor performance to ensure quality, efficiency, and value for money.
- Ensure procurement activities comply with company policies and established procedures.
Security, Health, Safety & Environment (HSE)
- Supervise outsourced security personnel and maintain effective workplace security.
- Coordinate workplace inspections, emergency preparedness activities, and safety audits.
- Promote compliance with health, safety, and environmental standards.
- Support the implementation of workplace safety initiatives and risk management programs.
Staff Welfare & Corporate Services
- Coordinate employee accommodation and staff welfare initiatives.
- Oversee office refreshments and employee support services.
- Organize company meetings, conferences, official visits, and corporate events.
- Support employee engagement initiatives that foster a positive, productive, and inclusive workplace culture.
Qualifications
Applicants should possess:
- A Bachelor’s Degree in Business Administration, Public Administration, Management, Logistics, Procurement, Human Resource Management, or a related discipline.
- A Master’s Degree or relevant postgraduate qualification will be an added advantage.
Experience Requirements
The ideal candidate will have:
- A minimum of 7–10 years of progressive experience in administration or a related field.
- At least 3–5 years of experience in a managerial or supervisory role.
- Previous experience working within a multinational organization will be an advantage.
- Experience in the mining, construction, engineering, manufacturing, or heavy industry sector is highly desirable.
