Position Purpose
The Accounts Officer will support the effective management of financial records, transactions, and reporting processes within the organization. The role ensures accurate bookkeeping, compliance with internal financial controls, timely preparation of reports, and proper reconciliation of accounts to support sound financial decision-making.
The successful candidate will maintain high standards of accuracy, integrity, and confidentiality in managing financial data while supporting the smooth operation of the finance function.
Key Responsibilities
Financial Recording and Reporting
- Record daily financial transactions accurately in accounting systems and ledgers.
- Prepare monthly, quarterly, and annual financial reports in line with organizational requirements.
- Maintain proper documentation of all financial transactions for audit and compliance purposes.
- Support the preparation of management accounts and financial summaries.
Reconciliation and Account Management
- Reconcile bank statements, cash accounts, and ledger balances on a regular basis.
- Monitor accounts receivable and payable to ensure timely processing and settlement.
- Investigate and resolve discrepancies in financial records promptly.
- Maintain accurate and up-to-date financial records across all accounts.
Budgeting and Financial Control
- Support the preparation and monitoring of departmental and organizational budgets.
- Track expenditures to ensure compliance with approved financial limits and policies.
- Assist in implementing internal financial controls and procedures.
- Highlight variances and support corrective financial actions.
Compliance and Audit Support
- Ensure compliance with internal policies, regulatory requirements, and accounting standards.
- Support internal and external audit processes by providing required documentation and explanations.
- Maintain confidentiality of financial data and organizational records.
- Assist in implementing audit recommendations and corrective actions.
Cash Management and Operations Support
- Monitor cash flow activities and ensure proper handling of cash transactions.
- Support branch or operational units in financial documentation and reporting.
- Ensure proper filing and safekeeping of financial records and supporting documents.
- Assist in improving efficiency in financial processes and systems.
Stakeholder Support and Communication
- Liaise with internal departments to ensure accurate financial reporting and documentation.
- Provide financial information and clarification when required by management.
- Support collaboration between finance and operational teams to improve financial discipline.
Qualifications and Experience
Education
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Professional certification (ACCA, ICA, CIMA) will be an added advantage.
Experience
- Minimum of 2–5 years’ experience in accounting, finance, or microfinance operations.
- Experience working in a microfinance institution or financial services environment is an advantage.
- Proven experience in bookkeeping, reconciliation, and financial reporting.
Knowledge, Skills, and Competencies
Technical Skills
- Strong knowledge of accounting principles and financial reporting standards.
- Proficiency in accounting software and Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong understanding of financial controls and reconciliation processes.
- Ability to prepare accurate financial statements and reports.
Analytical Skills
- Strong attention to detail and numerical accuracy.
- Ability to analyze financial data and identify discrepancies.
- Strong problem-solving skills with a structured approach to financial issues.
Communication and Interpersonal Skills
- Good written and verbal communication skills.
- Ability to work effectively with internal teams and external stakeholders.
- Strong customer service orientation in handling financial inquiries.
