Position Overview

We are seeking a highly organized and proactive Administrative Assistant to support executive operations, project coordination, and business processes. The ideal candidate will play a central role in ensuring seamless communication, efficient workflows, and effective execution across multiple functions within the organization.


Key Responsibilities

Executive Assistance & Project Coordination

  • Manage project platforms such as Click Up, Slack, and Notion to ensure task visibility and accountability.
  • Build and maintain executive dashboards to track deliverables and project progress.
  • Create, assign, and monitor tasks to align timelines, priorities, and dependencies.
  • Support leadership with client on-boarding and coordination of deliverables.

Meetings & Scheduling

  • Coordinate internal and external meetings using tools such as Calendly and Google Calendar.
  • Organize, record, and document meetings via Zoom and related tools.
  • Capture key outcomes and action items to ensure timely follow-up.

Documentation & Operational Support

  • Serve as a liaison between internal teams, vendors, and freelancers to ensure smooth communication.
  • Manage documentation, including NDAs, contracts, and vendor agreements, while tracking timelines.
  • Maintain organized systems across Google Workspace, shared drives, and internal platforms.
  • Draft professional email communications, templates, and follow-ups.

Business Development Support

  • Maintain and update CRM systems, including HubSpot and Apollo.io, with accurate lead and client data.
  • Track sales pipeline activity, deal stages, and business opportunities.
  • Conduct research and qualify potential clients and partners.

Diagnostic & Pitch Support

  • Gather insights using tools such as SEMrush, Social Insider, and Sprout Social.
  • Prepare presentations, case studies, and proposals using structured templates.
  • Track proposal timelines, coordinate submissions, and manage pitch documentation.
  • Develop dashboards to report outreach activity, pipeline performance, and conversion metrics.

Marketing & Web Support

  • Maintain business listings and digital presence across platforms such as Google Business Profile.
  • Organize and manage digital assets across platforms including Google Drive and Dropbox.
  • Support content creation, design, and scheduling using tools such as Canva, Adobe, and Figma.
  • Assist with website updates on WordPress and monitor performance via Google Analytics.

Finance & Administrative Support

  • Maintain records of contracts, project milestones, and client agreements.
  • Support budgeting, bookkeeping coordination, and financial tracking.
  • Monitor billing, payments, and outstanding balances.
  • Process invoices, receipts, and vendor payments for reporting purposes.

Qualifications

Experience

  • 2–4 years of experience in administrative support, project coordination, or digital marketing.
  • Prior experience in an agency or hospitality-related environment is an advantage.
  • Proven ability to manage calendars, workflows, and multiple priorities effectively.

Skills & Competencies

  • Proficiency in project management tools such as ClickUp or similar platforms.
  • Strong written and verbal communication skills.
  • Excellent organizational skills with high attention to detail.
  • Ability to manage data, reporting, and presentation preparation.
  • Strong initiative with the ability to work independently in a fast-paced environment.
  • Adaptability and willingness to learn new tools and systems quickly.
