Position Summary
Heritage Christian University is seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative and operational support. The successful candidate will coordinate office activities, manage schedules, prepare reports and meeting documentation, and ensure the efficient day-to-day functioning of the office while delivering exceptional support to internal and external stakeholders.

Key Responsibilities
- Coordinate daily administrative operations to ensure the efficient running of the office.
- Organize meetings, prepare agendas, record accurate minutes, and follow up on action items.
- Prepare reports, presentations, correspondence, and other administrative documents.
- Manage calendars, schedule appointments, and coordinate meetings while preventing scheduling conflicts.
- Arrange business travel, including flights, accommodation, transportation, and related logistics.
- Screen incoming phone calls and direct inquiries to the appropriate departments or personnel.
- Welcome and assist visitors professionally, ensuring a positive experience.
- Maintain professional communication through phone calls, emails, and official correspondence.
- Organize and maintain physical and electronic filing systems.
- Conduct research and compile information to support administrative and project activities.
- Monitor office supplies and coordinate timely procurement when required.
- Anticipate administrative needs and proactively provide solutions to support operational effectiveness.
- Perform other administrative duties assigned by management.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Secretaryship, Project Management, Communication, or a related field.
- Minimum of two (2) years’ post-qualification experience in an administrative or office support role.
- Previous administrative experience in a corporate or educational environment is an advantage.
- Excellent verbal and written communication skills.
- Demonstrated ability to prepare accurate meeting minutes, reports, and presentations.
- Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
- Excellent problem-solving and analytical abilities.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and other office productivity tools.
- Ability to learn quickly and adapt to changing priorities.
- Strong interpersonal, networking, and stakeholder management skills.
- Good project management skills.
- Ability to source, analyse, and synthesize information from multiple sources.
- Ability to work independently while collaborating effectively within a team.
- Strong attention to detail, professionalism, and commitment to confidentiality.
- Demonstrated critical and creative thinking with a commitment to supporting positive institutional outcomes.
