Position Overview
The Administrative & Finance Officer will provide comprehensive financial, administrative, and operational support to the CARP Ghana Secretariat. The successful candidate will ensure efficient office administration, maintain accurate financial records, support procurement and logistics activities, and contribute to compliance with organizational and donor requirements.
The position reports directly to the Manager, CARP Ghana, and works closely with the Secretariat team, Technical Committees, and key stakeholders.
Key Responsibilities
Financial Management
The Administrative & Finance Officer will:
- Maintain accurate financial records, accounting documentation, and supporting schedules.
- Prepare payment vouchers, invoices, and bank reconciliations.
- Support budget preparation, expenditure monitoring, and financial planning activities.
- Assist in preparing financial reports and supporting internal and external audit processes.
- Ensure compliance with approved financial procedures, organizational policies, and donor requirements.
Administrative Operations
- Manage office administration, records management, and filing systems.
- Coordinate procurement activities and logistics for meetings, workshops, field activities, and events.
- Maintain inventory records and office asset registers.
- Coordinate staff and stakeholder travel arrangements, including accommodation bookings.
- Schedule meetings and prepare agendas, meeting materials, and related documentation.
Compliance & Reporting
- Maintain complete and accurate documentation of financial and administrative transactions.
- Support the preparation of monthly, quarterly, and periodic operational reports.
- Maintain records required for audits, compliance reviews, and organizational reporting.
Secretariat Support
- Provide administrative support to the Manager and Technical Committees.
- Coordinate stakeholder engagements, meetings, workshops, and events.
- Facilitate communication and collaboration with members, partners, and other stakeholders.
- Perform other duties assigned to support the effective operation of the Secretariat.
Qualifications & Experience
The ideal candidate should possess:
Academic Qualifications
- An HND, Bachelor’s degree, or higher qualification in Accounting, Finance, Business Administration, Commerce, Economics, or a related field.
Professional Experience
- A minimum of three (3) years’ relevant experience in finance, accounting, administration, or office management.
- Experience working with development projects, NGOs, private sector organizations, or multi-stakeholder platforms will be an added advantage.
- Sound knowledge of accounting principles, financial reporting, and financial administration.
- Experience coordinating procurement, logistics, and administrative processes is desirable.
Skills & Competencies
The successful candidate will demonstrate:

- Good numerical, analytical, and problem-solving abilities.
- Excellent written and verbal communication skills.
- High standards of integrity, confidentiality, accuracy, and attention to detail.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- The ability to work independently while collaborating effectively within a multidisciplinary team.
- Strong interpersonal and stakeholder relationship management skills.
Reporting Line
The Administrative & Finance Officer will report directly to the Manager, CARP Ghana, and work closely with the Secretariat team, Technical Committees, and key stakeholders to support the efficient administration and financial management of the Platform.
Terms of Employment
- Full-time position based in Accra, Ghana.
- Initial one-year renewable contract, subject to satisfactory performance and continued funding.
- Occasional travel to rice-producing regions across Ghana may be required.
