Administrative Secretary

Location: Cantonments, Accra
Employment Type: Full-Time
Application Deadline: 05 August 2026

Position Summary

The Administrative Secretary will provide comprehensive administrative and office support to ensure the efficient operation of the organization. The successful candidate will coordinate office activities, manage documentation, maintain records, schedule meetings, and support communication across the business while maintaining a high level of professionalism and confidentiality.

Key Responsibilities

Office Administration

  • Manage office supplies inventory and coordinate timely procurement of required materials.
  • Maintain organized office systems that support efficient daily operations.
  • Update and maintain company databases to ensure information is accurate and current.
  • Organize and maintain secure filing systems for confidential and important company documents.

Administrative Support

  • Prepare regular reports on office expenses and departmental budgets.
  • Prepare reports, presentations, and other business documents using relevant statistical and operational data.
  • Distribute, receive, and securely maintain company correspondence, including letters, emails, and packages.

Scheduling and Coordination

  • Maintain the company calendar and coordinate appointments for management and staff.
  • Schedule meetings and book meeting rooms as required.
  • Coordinate travel arrangements, including transportation and accommodation bookings.

Communication and Customer Service

  • Respond professionally to enquiries from employees, clients, and other stakeholders.
  • Facilitate effective communication within the office and ensure timely dissemination of relevant information.
  • Support the delivery of excellent internal and external customer service.

Records and Policy Administration

  • Update office policies and administrative procedures as required.
  • Ensure administrative records are maintained accurately and in accordance with company standards.
  • Maintain confidentiality when handling sensitive company information.

Qualifications and Experience

Essential Requirements

  • A Bachelor’s degree or Higher National Diploma (HND) in Business Administration, Office Management, Secretarial Studies, Public Administration, or a related field.
  • Proven experience in an administrative, secretarial, or office support role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent written and verbal communication skills.
  • Strong organizational, planning, and time management abilities.
  • High attention to detail with the ability to manage multiple tasks simultaneously.
  • Professional interpersonal skills and a customer-focused approach.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong problem-solving skills and the ability to work independently and collaboratively.
