Job Purpose

The Administrative Supervisor will oversee daily administrative operations and supervise administrative staff to ensure efficient office management and seamless coordination across departments. The role requires strong leadership, operational discipline, and the ability to implement structured processes that support productivity and organizational effectiveness.

The successful candidate will play a key role in enhancing workflow efficiency, supporting team performance, and ensuring compliance with company procedures and standards.


Key Responsibilities

Administrative Operations Management

  • Supervise daily administrative activities and assign tasks to administrative personnel.
  • Ensure efficient office operations and timely completion of assigned duties.
  • Monitor administrative workflows and implement improvements where necessary.
  • Maintain accurate filing systems and administrative documentation in both digital and physical formats.

Team Leadership & Staff Supervision

  • Conduct performance assessments and provide constructive feedback to team members.
  • Manage attendance, leave administration, and personnel-related matters.
  • Address workplace conflicts professionally and support team development initiatives.
  • Support recruitment activities including interviews, onboarding, and employee orientation.

Process Improvement & Compliance

  • Develop, document, and implement Standard Operating Procedures (SOPs) to improve efficiency and consistency.
  • Ensure compliance with company policies, procedures, and administrative standards.
  • Identify operational bottlenecks and recommend practical process improvements.
  • Promote accountability, professionalism, and operational discipline within the team.

Office & Resource Management

  • Manage office supply inventory and coordinate procurement needs when required.
  • Ensure office equipment and facilities are properly maintained and functional.
  • Support efficient resource utilization and cost-effective office operations.

Coordination & Communication

  • Coordinate with HR, Warehouse, Production, Logistics, and other departments to support operational objectives.
  • Act as the primary liaison between administrative staff and management.
  • Prepare internal reports, memos, and official communications.
  • Support management with meeting scheduling, coordination, and documentation.

Confidentiality & Professional Conduct

  • Handle sensitive and confidential information with integrity and discretion.
  • Maintain professional conduct and promote a positive work environment.
  • Perform additional administrative and supervisory duties assigned by management.

Qualification & Experience

Education

  • Bachelor’s Degree in Business Administration, Public Administration, Human Resources, or a related field

Experience

  • Minimum of 4 years’ experience in administration, office management, or a supervisory role
  • Proven experience supervising teams and handling personnel matters
  • Experience in a manufacturing or industrial environment is an advantage
