We are seeking a highly organized, analytical, and results-driven Clinical Operations Officer to support the effective management of clinic operations, improve service delivery, strengthen quality standards, and enhance client experiences across our healthcare facilities.

Job Summary

The Clinical Operations Officer will support the Clinics Channel Lead in managing clinic performance, operational efficiency, quality compliance, resource coordination, and service improvement initiatives. The successful candidate will oversee operational processes, analyze performance data, support clinic teams, manage resources, and ensure clinics consistently deliver safe, efficient, and client-focused healthcare services in line with MSI Ghana’s standards and regulatory requirements.

Key Responsibilities

1. Clinic Operational Efficiency

  • Maintain and archive clinic operational data, performance reports, and relevant documentation on the organization’s shared document management system.
  • Identify opportunities to improve clinic operations, enhance client experiences, and strengthen service provider engagement in collaboration with the Clinics Channel Lead.
  • Develop and implement action plans to achieve clinic productivity targets and operational benchmarks.
  • Standardize front-desk and clinical support workflows to promote service excellence across all clinics.
  • Maintain effective working relationships with physicians, nurses, midwives, and clinic teams.
  • Monitor adherence to clinical and operational standards while supporting teams in resolving operational challenges.
  • Support Clinic Managers in addressing staff-related concerns and maintaining effective communication with clinic teams.
  • Facilitate staff onboarding, engagement, and retention initiatives to promote a motivated workforce.

2. Stock Management

  • Verify and monitor clinic stock and supply orders to ensure accurate forecasting, distribution, and recordkeeping.
  • Reconcile delivered stock against inventory records, stock cards, and service delivery data.
  • Monitor stock levels and identify potential shortages or inefficiencies.
  • Provide accurate stock reports, analysis, and recommendations to support planning and budgeting.

3. Financial Document Management

  • Support effective management of clinic financial transactions in line with MSI Ghana’s financial policies and procedures.
  • Ensure timely submission and accuracy of expense documentation, advances, reconciliations, and daily allowance records.
  • Provide regular expenditure updates and identify opportunities for improved financial efficiency.
  • Ensure clinic teams maintain proper financial documentation and reporting tools.
  • Monitor clinic income-to-cost performance and support corrective actions where necessary.

4. Reporting and Coordination

  • Coordinate with clinic teams to prepare, analyze, and share monthly performance dashboards.
  • Develop tracking tools and reports to monitor operational improvements, quality recommendations, and clinic performance.
  • Support the implementation and communication of activity work plans across clinic teams.
  • Organize operational review meetings, document discussions, track action points, and monitor progress.
  • Maintain updated records of staffing plans, leave schedules, and approved locum personnel lists.

5. Clinical Quality and Policy Compliance

  • Support the implementation of quality improvement recommendations from assessments, reviews, and supervisory visits.
  • Monitor clinic compliance with MSI Ghana policies, professional standards, and healthcare regulations.
  • Provide updates on outstanding quality improvement actions and compliance requirements.
  • Ensure timely renewal of professional licenses, registrations, and facility certifications.
  • Address unresolved client concerns and support continuous improvement of patient experiences.
  • Strengthen systems that promote compliance with clinical protocols, operational procedures, and regulatory requirements.

6. Administrative and Logistics Coordination

  • Review locum staff requests and verify professional licenses before approval processes.
  • Assess travel, accommodation, conference, and logistics requests against approved work plans.
  • Process daily allowance requests and ensure timely documentation.
  • Coordinate requisitions for hotels, travel arrangements, conferences, and vehicle maintenance.
  • Review supplier invoices for accuracy and ensure timely processing.

7. Data Management and Information Systems

  • Maintain accurate clinic databases containing performance information, stock records, staff training records, and operational updates.
  • Ensure proper storage and accessibility of clinic operational documents.
  • Provide accurate data analysis to support operational decision-making.

8. Clinic-Level Marketing and Demand Generation

  • Support clinic-level marketing and demand generation activities, including community outreach, health education sessions, and awareness campaigns.
  • Ensure clinics maintain consistent brand visibility through updated signage, posters, and promotional materials.
  • Support local partnerships and community engagement initiatives that increase awareness and service utilization.
  • Track marketing activity performance, including referrals, client visits, and conversions.
  • Support content collection for digital platforms, including clinic updates, testimonials, and promotional materials.

9. Additional Responsibilities

  • Perform other duties assigned by management to support organizational goals and operational excellence.

Educational Qualification

The ideal candidate should possess:

  • A Bachelor’s Degree in Healthcare Administration, Business Administration, Public Health, Marketing, or a related field.
  • A postgraduate qualification at the Master’s level will be an added advantage.
  • Proficiency in healthcare operations technology, data analysis tools, and reporting systems.

Professional Experience

The ideal candidate should have:

  • A minimum of five (5) years of experience in management or operational leadership roles.
  • Proven experience managing healthcare operations, public health programmes, or community health services.
  • Demonstrated leadership skills with the ability to motivate teams and drive performance improvement.
  • Experience managing budgets, financial processes, and operational resources.
  • Strong understanding of Ghana’s healthcare sector and service delivery environment.
  • Experience developing staff capacity through coaching, training, and mentorship.
  • Demonstrated experience planning and executing marketing, outreach, health promotion, or demand generation activities.
