We are seeking a proactive, highly organized, and detail-oriented Executive Secretary/Assistant to provide comprehensive administrative and executive support to senior leadership while ensuring the smooth day-to-day operation of the office.

Position Overview

The Executive Secretary/Assistant will manage executive schedules, coordinate meetings, handle confidential correspondence, and provide administrative and basic financial support. The successful candidate will demonstrate exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

The Executive Secretary/Assistant will:

  • Manage executives’ calendars, appointments, meetings, conferences, and daily schedules.
  • Coordinate board meetings, prepare meeting materials, attend meetings, and record accurate minutes.
  • Receive, screen, and appropriately direct telephone calls and visitor inquiries.
  • Manage incoming and outgoing correspondence, including emails, letters, packages, and official communications.
  • Coordinate travel arrangements, including transportation, accommodation, and itineraries for executives.
  • Handle confidential documents and sensitive information with the highest level of discretion and professionalism.
  • Assist with invoice preparation, financial documentation, and basic bookkeeping activities.
  • Monitor office supplies and coordinate procurement while negotiating cost-effective arrangements with suppliers.
  • Maintain organized electronic and physical filing systems to ensure efficient document management and easy retrieval of information.
  • Conduct research and prepare reports, presentations, and briefing materials as assigned.
  • Support administrative projects and perform other duties assigned to ensure efficient office operations.

Qualifications & Experience

The ideal candidate should possess:

  • A Diploma or Bachelor’s degree in Business Administration or a related field.
  • Fresh graduates are encouraged to apply.
  • Sound knowledge of office administration, office management practices, and basic accounting procedures.
  • Familiarity with research methods, data gathering, and report preparation.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and time management skills with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills.
  • Strong interpersonal, negotiation, and relationship management skills.
  • High level of integrity, professionalism, and confidentiality.
  • A proactive attitude with strong attention to detail and problem-solving abilities.
