We are seeking a highly organized and proactive Executive Support Officer to provide strategic administrative support to the Chief Executive Officer (CEO) and contribute to the effective execution of business priorities.

Job Summary

As the Executive Support Officer, you will provide comprehensive administrative and operational support to the CEO by managing schedules, coordinating executive activities, preparing critical documents, and supporting strategic initiatives. You will act as a key point of coordination, ensuring efficient communication, timely execution of priorities, and effective management of confidential information.

Key Responsibilities

Executive Administration and Coordination

  • Manage and maintain the CEO’s calendar, appointments, meetings, and daily schedule.
  • Coordinate internal and external meetings, ensuring all logistics, materials, and documentation are prepared in advance.
  • Prepare meeting agendas, record minutes, track action points, and follow up on outstanding tasks.
  • Manage and prioritize incoming calls, emails, and correspondence on behalf of the CEO.
  • Draft, edit, proofread, and format executive correspondence, reports, presentations, speeches, and business documents.
  • Maintain accurate and confidential executive files, records, and documentation.

Executive and Strategic Support

  • Follow up on assignments delegated by the CEO and provide timely progress updates.
  • Support the CEO in prioritizing tasks, managing deadlines, and achieving key business objectives.
  • Assist in coordinating strategic projects and business initiatives.
  • Track project milestones, deliverables, and deadlines to ensure successful completion.
  • Conduct research and compile relevant information to support executive decision-making.
  • Prepare reports, dashboards, and presentations for management meetings.
  • Coordinate cross-functional activities to ensure effective implementation of executive directives.

Educational Requirements and Experience

Applicants must possess:

  • A Bachelor’s Degree in Business Administration, Public Administration, Management, Communications, or a related field.
  • A minimum of one (1) to three (3) years’ experience providing executive or senior administrative support.
  • Previous experience supporting a CEO, Managing Director, or senior executive will be highly desirable.
  • Experience working in a professional office environment with strong administrative responsibilities.

Skills and Competencies

  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • High attention to detail and accuracy.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong problem-solving and decision-support skills.
  • Ability to manage multiple priorities and meet tight deadlines.
  • Proactive, reliable, and able to work independently.
  • Strong interpersonal skills and ability to collaborate with diverse teams.

Technical Skills

  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience using Microsoft Teams, Zoom, and other virtual meeting platforms.
  • Strong document management and presentation development skills.
  • Experience with ERP or business management systems will be an added advantage.

Work Requirements

  • This is a full-time, office-based role.
  • The successful candidate must demonstrate flexibility to support executive activities, meetings, and business requirements outside normal working hours when necessary.
