Position Summary
As the Receptionist, you will serve as the first point of contact for clients, visitors, and partners, creating a positive and welcoming experience at our health centre. You will manage front desk operations, support administrative and financial processes, maintain accurate client records, and work collaboratively with clinical and support teams to ensure the efficient delivery of high-quality services.
Key Responsibilities
You will:
- Welcome clients, visitors, and stakeholders in a professional, courteous, and friendly manner.
- Serve as the first point of contact by responding promptly to enquiries in person, by telephone, and through digital communication channels.
- Manage daily front desk operations and coordinate client flow to ensure an efficient and positive client experience.
- Maintain client confidentiality and ensure the accurate recording and management of client information.
- Receive, process, and reconcile daily cash and electronic payments in accordance with established financial procedures.
- Maintain petty cash records and prepare accurate daily financial reports.
- Enter, update, and maintain client information in relevant information management systems.
- Support internal audits, data quality reviews, and compliance activities.
- Manage front office supplies and coordinate administrative logistics to ensure smooth day-to-day operations.
- Collaborate closely with clinical and support teams to enhance service delivery and client satisfaction.
- Perform additional administrative and operational duties that contribute to the effective functioning of the health centre.
Key Performance Indicators (KPIs)
Success in this role will be measured by:
- High levels of client satisfaction and quality customer service.
- Accuracy and completeness of financial records, reconciliations, and petty cash management.
- Timely preparation and submission of required reports.
- Accuracy, completeness, and confidentiality of client records.
- Compliance with MSIG policies, procedures, financial controls, and operational standards.
Qualifications and Experience
The ideal candidate will possess:
- A minimum of a GCE O’ Level or SSCE certificate; an HND or higher qualification will be an advantage.
- At least two (2) years of experience in reception, customer service, administration, healthcare, or a related role.
- Experience handling cash transactions, financial reconciliations, and basic accounting records.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with a professional and customer-focused approach.
- Excellent organizational skills with the ability to manage multiple priorities effectively.
- The ability to work efficiently under pressure while maintaining accuracy and professionalism.
