Role Purpose
The Senior Executive Assistant to the CEO serves as a trusted partner to the Chief Executive Officer, providing high-level executive, administrative, and strategic support. The successful candidate will manage complex executive operations, coordinate key stakeholder engagements, oversee confidential communications, and ensure the CEO’s office operates efficiently while supporting the achievement of corporate objectives.

Key Responsibilities
Executive Support
- Manage and optimise the CEO’s complex calendar, priorities, and daily schedule.
- Coordinate executive meetings, appointments, and strategic engagements.
- Arrange domestic and international travel, including flights, accommodation, visas, ground transportation, and detailed travel itineraries.
- Prepare executive briefing materials, meeting packs, and background documentation.
- Screen, prioritise, and respond appropriately to correspondence, requests, invitations, and enquiries.
- Protect the CEO’s time by managing competing priorities and ensuring effective scheduling.
- Monitor deadlines, commitments, and follow-up actions to ensure timely execution.
- Provide sound judgment and administrative support to facilitate executive decision-making.
Executive Operations
- Coordinate strategic initiatives, executive projects, and cross-functional activities.
- Track CEO decisions and monitor action items across business units.
- Follow up with departmental leaders to ensure timely completion of assigned deliverables.
- Prepare executive dashboards, reports, presentations, and progress updates.
- Identify opportunities to improve executive workflows and business processes.
- Support the planning, execution, and monitoring of strategic business initiatives.
Stakeholder Management
- Coordinate and manage engagements with government officials, regulators, Board members, investors, corporate executives, international partners, diplomatic representatives, and VIP guests.
- Serve as the CEO’s primary administrative liaison with internal and external stakeholders.
- Build and maintain strong, trusted professional relationships across all stakeholder groups.
- Manage executive protocol and ensure a professional experience for executive visitors and guests.
Executive Communication & Documentation
- Draft, edit, and proofread executive correspondence, reports, presentations, speeches, briefing notes, meeting agendas, and minutes.
- Prepare accurate, professional, and confidential executive documentation.
- Record meeting outcomes, monitor follow-up actions, and ensure timely communication of decisions.
- Maintain organised, secure, and confidential executive records and documentation.
Meetings, Board Support & Corporate Events
- Coordinate Executive Leadership Team meetings and strategic planning sessions.
- Organise Board meetings, prepare Board papers, briefing packs, and presentation materials.
- Coordinate conferences, executive retreats, workshops, corporate events, and international executive visits.
- Manage logistics for high-level meetings and executive engagements.
Confidentiality & Corporate Governance
- Handle highly confidential corporate, financial, legal, commercial, strategic, and personnel information with the highest level of discretion.
- Maintain secure filing systems and executive records.
- Ensure compliance with company governance, confidentiality, information security, and record management policies.
Qualifications, Experience & Competencies
Education
- Bachelor’s degree in Business Administration, Management, Communications, Public Administration, Law, International Relations, or a related discipline.
- A postgraduate qualification or professional certification in Executive Administration, Project Management, Business Administration, or a related field will be an advantage.
Experience
- Minimum of five (5) years’ experience supporting a Chief Executive Officer, Managing Director, President, Country Manager, or other C-suite executive in a fast-paced corporate environment.
- Proven experience supporting senior executives or expatriate leaders.
- Demonstrated success managing complex executive calendars, competing priorities, and executive office operations.
- Experience coordinating executive travel, international engagements, and high-level meetings.
- Strong experience preparing executive reports, presentations, speeches, and business correspondence.
- Experience within multinational organisations, technology, telecommunications, financial services, management consulting, international organisations, diplomatic missions, oil and gas, or similar fast-paced corporate environments will be an advantage.
Technical Competencies
- Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
- Proficiency in Google Workspace, Zoom, and electronic document management systems.
- Experience using calendar management platforms and executive productivity tools.
- Familiarity with AI-powered productivity tools to enhance executive communication, documentation, scheduling, and workflow efficiency.
