We are seeking a highly organized and proactive Admin & Personal Assistant to support daily business operations and provide executive administrative assistance. The successful candidate will manage schedules, coordinate documentation, oversee listing and marketing activities, and ensure smooth day-to-day operations within the organization.

The ideal candidate will possess excellent communication skills, emotional intelligence, discretion, and the ability to multitask effectively in a fast-paced environment.
Key Responsibilities
Listing & Marketing Management
- Coordinate property listings and ensure information is accurate and up to date.
- Assist with marketing campaigns, promotional materials, and social media content creation.
- Design and edit basic marketing materials using Canva and related tools.
- Maintain and update CRM systems and client databases.
Transaction & Document Coordination
- Prepare, organize, and manage documents related to transactions and client engagements.
- Track deadlines and ensure timely completion of administrative processes.
- Maintain accurate filing systems for contracts, reports, and company records.
- Support communication between clients, agents, and service providers.
Executive Support & Logistics
- Manage calendars, appointments, meetings, and travel arrangements for executives.
- Handle confidential information with professionalism and discretion.
- Prepare reports, presentations, and correspondence as required.
- Coordinate logistics for meetings, events, and business activities.
Daily Operations
- Support the smooth running of office operations and administrative functions.
- Respond promptly to inquiries and maintain professional communication with clients and stakeholders.
- Monitor office supplies and coordinate procurement when necessary.
- Assist with additional administrative duties as assigned.
Requirements & Competencies
- Minimum of 3 years’ experience in an administrative role.
- Bachelor’s Degree required.
- Proficiency in Microsoft Office Suite, Canva, and CRM tools.
- Excellent written and verbal communication skills.
- High emotional intelligence, professionalism, and discretion.
- Strong time management and organizational skills.
- Proactive mindset with the ability to work independently and multitask effectively.
- Strong attention to detail and problem-solving ability.
