Job Summary

The Front Desk Executive will create a warm and professional first impression for all clients, visitors, vendors, and business partners. The successful candidate will manage front office operations efficiently, support administrative functions, and ensure smooth communication within the organization.

Key Responsibilities

  • Serve as the first point of contact for clients, visitors, vendors, and business partners.
  • Receive, direct, and manage phone calls, emails, and inquiries professionally and efficiently.
  • Welcome visitors and provide accurate information regarding company services and operations.
  • Schedule meetings, manage appointment calendars, and coordinate meeting room bookings.
  • Maintain visitor logs, front desk registers, and administrative records.
  • Coordinate courier services, receive deliveries, and manage outgoing correspondence.
  • Ensure the reception area remains organized, professional, and presentable at all times.
  • Support administrative tasks including filing, data entry, photocopying, and document management.
  • Assist departments with office coordination and communication support.
  • Handle customer concerns and inquiries with professionalism and discretion.
  • Monitor office supplies and report replenishment needs when necessary.

Requirements & Qualifications

  • Diploma or Bachelor’s degree in Business Administration, Communication, Office Management, or a related field.
  • Minimum of 1–2 years of experience in a receptionist, customer service, or front desk role.
  • Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service abilities.
  • Professional appearance and positive attitude.
  • Strong organizational and multitasking skills.
  • Ability to remain calm and professional under pressure.
  • High level of integrity, confidentiality, and attention to detail.

  • Strong time management and administrative coordination skills.
  • Ability to work independently and collaboratively within a team.
