Position Summary
As a Procurement Officer, you will oversee procurement activities from sourcing and supplier management to contract administration and delivery coordination. You will play a critical role in ensuring the timely acquisition of quality goods and services, optimizing procurement costs, and supporting operational efficiency across the organization.
Key Responsibilities
Procurement Planning & Execution
- Manage the procurement process from requisition through purchase order issuance and delivery.
- Source and procure materials, equipment, goods, and services required for projects and operational activities.
- Collaborate with internal departments to understand procurement requirements and timelines.
- Develop procurement plans that ensure the timely availability of resources.
- Monitor procurement schedules and ensure purchases are delivered according to project requirements.
Supplier & Vendor Management
- Identify, evaluate, and onboard reliable suppliers and service providers.
- Build and maintain strong relationships with vendors and strategic suppliers.
- Conduct supplier assessments and performance evaluations.
- Maintain accurate supplier databases and procurement records.
- Resolve supplier-related issues and ensure agreed service standards are consistently achieved.
Strategic Sourcing & Negotiation
- Obtain quotations and conduct comparative analyses to achieve value for money.
- Negotiate pricing, payment terms, delivery schedules, and contractual conditions with suppliers.
- Identify opportunities to reduce procurement costs while maintaining quality standards.
- Conduct market research to identify new suppliers, products, and sourcing opportunities.
Contract & Compliance Management
- Assist in preparing, reviewing, and administering supplier agreements, contracts, and purchase orders.
- Ensure procurement activities comply with company policies, procedures, and regulatory requirements.
- Monitor supplier compliance with contractual obligations and agreed performance standards.
- Maintain accurate procurement documentation and audit-ready records.
Inventory & Logistics Coordination
- Coordinate with warehouse, logistics, and project teams to ensure the efficient receipt and distribution of purchased items.
- Monitor inventory levels and recommend replenishment actions where necessary.
- Track deliveries and follow up on outstanding orders.
- Support the timely resolution of supply chain and delivery challenges.
Reporting & Data Analysis
- Prepare procurement reports and spend analyses for management review.
- Track procurement KPIs, supplier performance metrics, and cost-saving initiatives.
- Analyze procurement trends and recommend process improvements.
- Maintain accurate records of procurement transactions and vendor performance.
Qualifications & Experience
Educational Requirements
- Bachelor’s Degree in:
- Procurement and Supply Chain Management
- Logistics Management
- Business Administration
- Purchasing and Supply
- Operations Management
- Or a related discipline
Professional Certifications
The following certifications will be an added advantage:
- Chartered Institute of Procurement & Supply (CIPS)
- Chartered Institute of Logistics and Transport (CILT)
- Professional Procurement Certifications
- Other relevant supply chain qualifications
Experience
- Minimum of 3–5 years of relevant experience in procurement, purchasing, sourcing, supply chain, or logistics management.
- Experience working within project-based environments, engineering, construction, manufacturing, energy, technology, or professional services industries will be an advantage.
- Proven experience in supplier management, strategic sourcing, and contract negotiations.
