Position Summary
The Bilingual Secretary will provide high-quality administrative, secretarial, and operational support to assigned departments and supervisors. The successful candidate will manage correspondence, coordinate schedules, maintain records, facilitate communication with stakeholders, and ensure the smooth day-to-day functioning of office operations while working in two African Union official languages.
Key Responsibilities
Administrative and Operational Support
- Provide efficient administrative and secretarial support to assigned departments, divisions, and units.
- Maintain supervisors’ calendars and ensure appointments are accurately scheduled and updated.
- Prepare routine office communications and assist in compiling reports, data, and information.
- Support the implementation of operational activities and provide timely progress updates.
- Follow up on meeting decisions, correspondence outcomes, and action points to ensure implementation.
- Assist with logistical arrangements for meetings, events, and departmental activities.
- Liaise effectively with internal and external stakeholders to facilitate smooth operations.
Correspondence and Communication
- Draft, type, proofread, and edit documents, reports, correspondence, messages, and other materials in two African Union working languages.
- Prepare responses to routine correspondence for supervisors’ review and signature.
- Receive, screen, and respond to telephone calls, emails, and other communications, ensuring appropriate follow-up.
- Welcome visitors, staff, and partners, and provide accurate information on relevant procedures and activities.
Records and Office Management
- Maintain accurate filing, record-keeping, and document retrieval systems for incoming and outgoing correspondence.
- Create, improve, and maintain efficient records management processes.
- Ensure office equipment remains in good working condition and report maintenance requirements promptly.
- Monitor and maintain adequate stocks of stationery, office equipment, and furniture.
- Perform reception duties as required and contribute to a professional office environment.
Additional Duties
- Carry out any other duties and responsibilities assigned by supervisors in support of departmental objectives.
Qualifications and Experience
Education
- Diploma in Administrative Services, Office Management, Secretarial Studies, Clerical Studies, or a related field, with a minimum of three (3) years of relevant bilingual secretarial experience; OR
- Bachelor’s Degree in Administrative Services, Office Management, Secretarial Studies, Clerical Studies, or a related field, with a minimum of two (2) years of relevant bilingual secretarial experience.
Experience
Relevant experience must be gained within:
- Public sector organizations;
- Diplomatic missions;
- International organizations; or
- International non-governmental organizations (INGOs).

- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Strong administrative, organizational, and records management skills.

Language Requirements
- Proficiency in one African Union official working language (English, French, Portuguese, Arabic, Spanish, or Swahili) is required.
- Fluency in a second African Union official language is highly desirable and considered an advantage.
