Position Purpose
The Legal Secretary will provide essential administrative and secretarial support to lawyers and legal teams to ensure the smooth and efficient operation of the firm. The role involves preparing legal documents, managing schedules, organizing case files, and supporting client communication while maintaining the highest standards of professionalism, confidentiality, and accuracy.
The successful candidate will contribute to effective case management and client service delivery through strong organizational skills and proactive administrative support.
Key Responsibilities
Legal Administrative Support
- Prepare, format, proofread, and file legal documents, correspondence, and reports.
- Support lawyers in drafting and organizing case-related documentation.
- Maintain accurate and up-to-date legal files and records in both physical and digital formats.
- Ensure proper filing and retrieval of legal documents in compliance with firm procedures.
Diary and Schedule Management
- Manage lawyers’ calendars, including appointments, meetings, and court dates.
- Coordinate internal and external meetings and ensure all logistics are properly arranged.
- Track deadlines, court schedules, and filing timelines to ensure timely submissions.
Client Communication and Support
- Handle client inquiries professionally and direct matters to appropriate legal personnel.
- Maintain courteous and effective communication with clients via phone, email, and in-person interactions.
- Support client relationship management by ensuring timely responses and follow-ups.
Document Preparation and Coordination
- Prepare meeting agendas, minutes, and follow-up documentation where required.
- Assist in preparing court bundles, case files, and supporting legal materials.
- Ensure all legal documents meet required formatting and procedural standards.
Office and Case Management Support
- Maintain organized legal and administrative records for easy access and retrieval.
- Coordinate administrative tasks related to case management and office operations.
- Support lawyers in ensuring compliance with filing procedures and court requirements.
Qualifications and Experience
Education
- Diploma or Degree in Secretarial Studies, Business Administration, Law, or a related field.
Experience
- Minimum of 2–3 years’ experience in a Legal Secretary, Administrative Assistant, or similar administrative role.
- Experience working in a law firm or legal environment will be an added advantage.
- Familiarity with legal documentation processes and court procedures is desirable.
Knowledge, Skills, and Competencies
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong typing, transcription, and document formatting skills.
- Knowledge of legal documentation processes is an advantage.
- Ability to manage digital and physical filing systems effectively.
Administrative and Organizational Skills
- Strong organizational and time-management abilities.
- Ability to prioritize tasks and meet strict deadlines.
- Excellent attention to detail and accuracy in document handling.
- Ability to work efficiently under pressure in a fast-paced environment.
Communication and Interpersonal Skills
- Excellent written and verbal communication skills.
- Strong interpersonal skills with a client-focused approach.
- Ability to communicate professionally with clients, lawyers, and stakeholders.
