Role Purpose
The Executive Secretary will provide comprehensive administrative, organisational, and coordination support to executive management. The successful candidate will ensure efficient office operations, manage executive schedules, facilitate communication with stakeholders, and support the smooth execution of administrative and strategic activities.

Key Responsibilities
Executive & Administrative Support
- Provide high-level administrative and secretarial support to senior management.
- Manage executives’ calendars, appointments, meetings, and travel arrangements efficiently.
- Screen and manage incoming calls, emails, and correspondence, ensuring timely responses and follow-ups.
- Prepare reports, presentations, official letters, memos, and other executive-level documents.
Meeting & Coordination Support
- Schedule, organise, and coordinate internal and external meetings, conferences, and appointments.
- Prepare meeting agendas, accurately record minutes, and track action items to completion.
- Coordinate all logistical arrangements for meetings and executive engagements.
Records & Document Management
- Maintain confidential records, executive files, and sensitive organisational documents.
- Develop and manage organised electronic and physical filing systems.
- Ensure proper documentation practices and adherence to records retention policies.
Communication & Stakeholder Management
- Serve as the primary liaison between executives and internal or external stakeholders.
- Handle enquiries professionally and ensure timely communication and follow-up.
- Coordinate interactions with clients, partners, suppliers, and other business stakeholders.
Office Administration
- Support the day-to-day operations of the executive office to ensure smooth workflow.
- Monitor and manage office supplies, initiating procurement requests when necessary.
- Provide additional administrative support and execute assigned tasks as required by management.
Qualifications, Experience & Competencies
Education
- Diploma or Bachelor’s degree in Executive Secretarial Studies, Business Administration, Office Management, or a related field.
- Professional certifications in Executive Administration or Office Management will be an added advantage.
Experience
- Minimum of two (2) years’ relevant experience in an administrative or executive secretarial role.
- Experience within the real estate sector will be an added advantage.
Technical Skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong report writing, document preparation, and communication skills.
- Experience with office management systems and digital filing tools will be an advantage.
- Strong records management and organisational skills.
