We are looking for a proactive, highly organized, and solution-oriented Operations Officer to support the day-to-day coordination of operational activities, ensure service delivery standards are met, and drive efficiency across the organization. Key Responsibilities

As the Operations Officer, you will:

  • Monitor the organization’s official email accounts and coordinate with the relevant departments to ensure timely responses to client and stakeholder communications.
  • Escalate operational risks that may affect service delivery or result in Service Level Agreement (SLA) breaches.
  • Monitor operational communication channels, including WhatsApp, Skype, and other designated platforms, to ensure client enquiries, requests, and reported issues are addressed promptly.
  • Track ongoing operational activities, pending approvals, and assigned tasks to ensure timely completion.
  • Identify overdue activities, determine the root causes of delays, assess associated risks, and implement appropriate corrective actions.
  • Anticipate potential operational delays and work proactively with stakeholders to prevent disruptions.
  • Document lessons learned from operational challenges and recommend process improvements to enhance efficiency.
  • Conduct regular assessments of operational activities and projects to identify potential risks and develop mitigation strategies.
  • Monitor project milestones and timelines to ensure activities remain on schedule and operational objectives are achieved.
  • Monitor compliance with Service Level Agreements (SLAs) across all operational services, including SMS, Kedebah platforms, and other client applications.
  • Investigate SLA breaches and collaborate with relevant teams to implement timely corrective actions.
  • Regularly verify the functionality of operational systems and tools, reporting technical issues promptly to minimize service interruptions.
  • Coordinate with internal teams to ensure operational continuity during employee leave, absences, or other resource constraints.
  • Identify and implement opportunities to improve operational efficiency and reduce costs without compromising service quality.
  • Prepare operational reports, status updates, and performance summaries for management as required.
  • Support continuous improvement initiatives that enhance operational effectiveness and customer satisfaction.

Qualifications and Experience

Applicants should possess:

  • A Bachelor’s Degree in Business Administration, Operations Management, Project Management, Information Technology, or a related field.
  • Previous experience in operations coordination, service delivery, project administration, customer support, or a similar operational role will be an advantage.
  • Experience working within technology, telecommunications, fintech, or digital service environments is desirable.
  • Familiarity with Service Level Agreement (SLA) management and operational performance monitoring will be an added advantage.
