The Opportunity

ACET is seeking a detail-oriented and highly organised Finance & Administrative Officer to provide effective financial and administrative support to the Finance Department.

The successful candidate will support financial operations, maintain accurate records, assist with reporting processes, strengthen compliance practices, and contribute to the smooth execution of ACET’s financial and administrative activities.

This full-time position is ideal for a finance professional who demonstrates strong analytical ability, attention to detail, accountability, and the ability to manage multiple priorities in a dynamic organisation.

Key Responsibilities

Financial and Administrative Support

As the Finance & Administrative Officer, you will:

  • Process payment vouchers, receipts, and financial transactions in line with ACET’s financial policies and procedures.
  • Review and compile supporting documentation for financial transactions.
  • Maintain accurate physical and electronic financial filing systems.
  • Provide administrative support to ensure efficient finance operations.
  • Follow up on pending approvals, documentation, and payment requests.

Financial Data Management

You will:

  • Record and post financial transactions accurately and promptly into accounting systems.
  • Maintain updated vendor, supplier, and beneficiary records.
  • Verify, review, and code invoices before processing.
  • Ensure accuracy and integrity of financial databases and records.
  • Support effective management of financial information.

Cash and Banking Management

You will:

  • Review petty cash transactions and reimbursements to ensure proper documentation and accountability.
  • Prepare banking documentation, including transfer instructions and deposit records.
  • Perform bank and cash reconciliations and investigate discrepancies.
  • Monitor cash balances and support cash flow management activities.

Record Keeping and Audit Support

You will:

  • Maintain organised financial records and archives according to retention policies.
  • Ensure financial documents are properly labelled, stored, and easily accessible.
  • Support internal and external audit processes by preparing required documentation.
  • Assist with financial reviews, compliance checks, and audit follow-ups.

Financial Reporting and Analysis

You will:

  • Support the preparation of monthly, quarterly, and annual financial reports.
  • Prepare reconciliations, schedules, and supporting financial analyses.
  • Assist with budget monitoring and variance analysis.
  • Track project expenditures and donor-funded activities.
  • Provide accurate financial information to support management decision-making.

Operational and Compliance Support

You will:

  • Support finance-related logistics and administrative activities.
  • Ensure compliance with organisational policies, financial regulations, internal controls, and donor requirements.
  • Assist in improving finance processes and operational efficiency.
  • Perform other duties assigned by management to support ACET’s finance and administrative objectives.

Qualifications and Experience

The ideal candidate will have:

  • Bachelor’s Degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of two (2) years’ experience in accounting, finance, bookkeeping, or administrative support roles.
  • Practical experience with financial systems, accounting software, and budget controls.
  • Knowledge of financial reporting, reconciliation processes, and documentation standards.
