Position Summary
The Front Office Officer serves as the first point of contact for guests and plays a vital role in delivering exceptional customer service. The successful candidate will manage front desk operations, facilitate smooth guest arrivals and departures, respond to guest enquiries, and ensure a seamless and enjoyable guest experience throughout their stay.

Key Responsibilities
Guest Reception and Customer Service
- Welcome guests warmly and provide a professional, courteous, and efficient check-in and check-out experience.
- Respond promptly to guest enquiries, requests, and concerns while delivering exceptional customer service.
- Provide accurate information about the resort’s accommodation, facilities, services, events, and local attractions.
- Build positive relationships with guests to encourage repeat visits and referrals.
Front Office Operations
- Manage reservations, room assignments, and guest registrations accurately.
- Process payments, issue invoices and receipts, and balance cash transactions in accordance with company procedures.
- Maintain accurate guest records and ensure confidentiality of guest information.
- Coordinate room availability with the Housekeeping and Maintenance teams to optimise occupancy.
Communication and Coordination
- Communicate effectively with all departments to ensure guest requests are fulfilled promptly.
- Relay important operational information during shift handovers.
- Assist with coordinating guest transportation, conference bookings, and special events where required.
- Escalate complex guest issues to the Front Office Supervisor or Manager when necessary.
Administrative Responsibilities
- Maintain organised front office records and documentation.
- Prepare daily reports, occupancy updates, and shift summaries.
- Ensure the reception area remains clean, organised, and welcoming at all times.
- Support administrative duties assigned by management.
Health, Safety and Compliance
- Follow all resort policies, procedures, and service standards.
- Adhere to health, safety, and security regulations.
- Protect guest privacy and maintain confidentiality of sensitive information.
- Assist with emergency procedures when required.
Qualifications and Experience
- Diploma or Bachelor’s degree in Hospitality Management, Tourism, Business Administration, or a related field.
- Minimum of two (2) years’ experience in a front office, reception, or customer service role, preferably within the hospitality industry.
- Experience using hotel property management systems (PMS) is an advantage.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Proficiency in Microsoft Office applications.
- Ability to work flexible shifts, including weekends and public holidays.
