Position Summary
The Administrative Assistant will provide comprehensive administrative and operational support to ensure the efficient functioning of the assigned office or department. The successful candidate will demonstrate strong organisational skills, professionalism, and the ability to manage multiple priorities while delivering excellent service to internal and external stakeholders.
Key Responsibilities
- Provide day-to-day administrative support to ensure the efficient operation of the office.
- Prepare, organise, and maintain correspondence, reports, records, and other administrative documents.
- Schedule meetings, appointments, and departmental activities, and coordinate logistics where required.
- Manage incoming and outgoing correspondence, including emails, telephone calls, and official communications.
- Maintain accurate filing systems, both electronic and physical, ensuring confidentiality of information.
- Support the preparation of reports, presentations, and meeting materials.
- Assist with data entry, record management, and document control.
- Coordinate office supplies and administrative resources to support daily operations.
- Welcome and assist students, staff, visitors, and other stakeholders in a professional and courteous manner.
- Support departmental projects, events, and other administrative initiatives.
- Ensure compliance with university policies, procedures, and administrative standards.
- Perform other administrative duties as assigned to support the effective operation of the department.
Qualifications and Experience
The successful candidate will possess:
- A minimum of a Bachelor’s degree from a recognised institution.
- At least three (3) years of relevant administrative or office management experience.
- Experience working within an educational institution or administrative environment will be an advantage.
- Strong organisational, planning, and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Strong attention to detail and the ability to maintain accuracy when handling information.
- Ability to work independently while contributing effectively as part of a team.
- High standards of professionalism, integrity, and confidentiality.
- Excellent interpersonal and customer service skills.
