Position Summary
The Virtual Assistant will provide comprehensive administrative support, coordinate day-to-day activities, manage communications, and assist with operational tasks to ensure the efficient functioning of the business. The successful candidate will demonstrate excellent organisational skills, strong digital proficiency, and the ability to work independently while maintaining effective collaboration with colleagues and stakeholders.
Key Responsibilities
- Provide day-to-day administrative support to executives and team members.
- Manage calendars, schedule meetings, appointments, and coordinate virtual and in-person engagements.
- Prepare, edit, and organise correspondence, reports, presentations, and other business documents.
- Respond to emails, telephone calls, and other communications in a professional and timely manner.
- Maintain organised electronic records, files, and databases while ensuring confidentiality.
- Coordinate travel arrangements, meeting logistics, and follow-up activities where required.
- Conduct online research and compile information to support business initiatives and decision-making.
- Assist with project coordination and monitor the timely completion of assigned tasks.
- Liaise with internal teams, clients, suppliers, and other stakeholders to facilitate smooth communication.
- Monitor office and operational processes and recommend improvements that enhance efficiency.
- Perform other administrative and operational duties as assigned.
Qualifications and Experience
The successful candidate will possess:
- A minimum of a Bachelor’s degree in Business Administration, Management, Communications, Information Technology, or a related field.
- Two (2) to three (3) years of relevant experience in an administrative support, executive assistant, virtual assistant, or similar role.
- Excellent written and verbal communication skills.
- Strong organisational, planning, and time management abilities.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Experience using virtual collaboration and communication tools such as Microsoft Teams, Zoom, Google Workspace, or similar platforms will be an advantage.
- Strong attention to detail and the ability to maintain confidentiality.
- Excellent problem-solving skills and the ability to manage multiple priorities effectively.
- Ability to work independently while maintaining strong collaboration with colleagues and stakeholders.
