Job Summary

We are seeking a highly organized and proactive Admin & Personal Assistant to support daily business operations and provide executive administrative assistance. The successful candidate will manage schedules, coordinate documentation, oversee listing and marketing activities, and ensure smooth day-to-day operations within the organization.

The ideal candidate will possess excellent communication skills, emotional intelligence, discretion, and the ability to multitask effectively in a fast-paced environment.

Key Responsibilities

Listing & Marketing Management

  • Coordinate property listings and ensure information is accurate and up to date.
  • Assist with marketing campaigns, promotional materials, and social media content creation.
  • Design and edit basic marketing materials using Canva and related tools.
  • Maintain and update CRM systems and client databases.

Transaction & Document Coordination

  • Prepare, organize, and manage documents related to transactions and client engagements.
  • Track deadlines and ensure timely completion of administrative processes.
  • Maintain accurate filing systems for contracts, reports, and company records.
  • Support communication between clients, agents, and service providers.

Executive Support & Logistics

  • Manage calendars, appointments, meetings, and travel arrangements for executives.
  • Handle confidential information with professionalism and discretion.
  • Prepare reports, presentations, and correspondence as required.
  • Coordinate logistics for meetings, events, and business activities.

Daily Operations

  • Support the smooth running of office operations and administrative functions.
  • Respond promptly to inquiries and maintain professional communication with clients and stakeholders.
  • Monitor office supplies and coordinate procurement when necessary.
  • Assist with additional administrative duties as assigned.

Requirements & Competencies

  • Minimum of 3 years’ experience in an administrative role.
  • Bachelor’s Degree required.
  • Proficiency in Microsoft Office Suite, Canva, and CRM tools.
  • Excellent written and verbal communication skills.
  • High emotional intelligence, professionalism, and discretion.
  • Strong time management and organizational skills.
  • Proactive mindset with the ability to work independently and multitask effectively.
  • Strong attention to detail and problem-solving ability.
