Position Summary

Zonda Tec Ghana Limited is seeking a proactive Administrative Assistant (Project Support) to provide essential administrative and technical coordination support for ongoing projects.

The successful candidate will assist in project documentation, regulatory compliance tracking, permit acquisition, reporting, and coordination between engineering teams and external regulatory bodies.

This role requires strong organizational skills, attention to detail, and the ability to support multiple project activities in a fast-paced engineering environment.

Key Responsibilities

  • Provide administrative and coordination support for engineering and construction projects.
  • Maintain accurate project documentation, records, and filing systems.
  • Support the preparation of project reports, meeting minutes, and technical documentation.
  • Assist in tracking project timelines, deliverables, and compliance requirements.
  • Coordinate communication between project teams, consultants, and external stakeholders.
  • Support the preparation and submission of permits and regulatory documentation to relevant authorities such as MMDAs, EPA, and the Ghana National Fire Service.
  • Monitor project administrative processes to ensure compliance with internal standards and regulatory requirements.
  • Assist in interpreting basic architectural and engineering drawings for documentation purposes.
  • Maintain project schedules, logs, and progress tracking reports.
  • Provide general administrative support to ensure smooth project execution.

Qualifications and Experience

  • Bachelor’s Degree or Higher National Diploma (HND) in Civil Engineering, Mechanical Engineering, Structural Engineering, Construction Engineering, or a related technical discipline.
  • Minimum of 2–3 years’ experience in project administration, construction support, regulatory compliance, or engineering coordination.
  • Experience in construction, real estate, engineering, or automobile-related industries will be an advantage.
  • Proven experience in obtaining permits and approvals from Ghanaian regulatory bodies (e.g., MMDAs, EPA, Ghana National Fire Service) is highly desirable.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management and document management systems is an advantage.
  • Ability to read and interpret basic architectural and engineering drawings.
  • Strong written communication, report writing, and documentation skills.
