We are seeking a highly organised, proactive, and detail-oriented Administrative Officer to support our daily operations and contribute to a professional, efficient, and collaborative workplace. The successful candidate will play a key role in coordinating administrative activities, supporting management, and ensuring smooth office operations.

Key Responsibilities

Scheduling & Communication

As an Administrative Officer, you will:

  • Coordinate and manage appointments, meetings, calendars, and schedules for management and staff.
  • Prepare meeting agendas, record minutes, track decisions, and follow up on assigned action items.
  • Manage incoming and outgoing communications, including emails, telephone calls, and official correspondence.
  • Facilitate effective communication between internal teams, clients, and external stakeholders.
  • Support professional client interactions by maintaining a responsive and service-oriented approach.

Administrative & Office Management

You will:

  • Manage daily administrative operations to ensure efficient office functionality.
  • Maintain a professional, organised, and productive office environment.
  • Coordinate office logistics, supplies, equipment, and service requirements.
  • Monitor office resources and support procurement processes for administrative needs.
  • Maintain confidentiality and protect sensitive organisational information.

Records & Document Management

You will:

  • Establish and maintain effective electronic and physical filing systems.
  • Organise, update, archive, and retrieve documents and records as required.
  • Ensure accurate documentation and easy access to important organisational information.
  • Maintain proper records management practices in line with company policies.

Data Management & Reporting

You will:

  • Accurately capture, update, and maintain organisational data and administrative records.
  • Prepare reports, summaries, presentations, and administrative documents for management review.
  • Support management with data gathering, analysis, and reporting requirements.
  • Ensure the accuracy, completeness, and confidentiality of organisational information.

Project & Operational Support

You will:

  • Provide administrative support for company projects, initiatives, and operational activities.
  • Coordinate logistics for meetings, workshops, training sessions, and corporate events.
  • Assist with project documentation, tracking, reporting, and follow-up activities.
  • Support management in implementing operational and strategic priorities.

General Administrative Duties

You will:

  • Manage office correspondence and administrative documentation.
  • Coordinate travel arrangements, accommodation, and logistics when required.
  • Monitor office inventory and facilitate the timely procurement of supplies.
  • Perform other administrative duties assigned by management.

Qualification Required & Experience

Applicants should have:

  • A minimum of a Higher National Diploma (HND) or Bachelor’s Degree in Business Administration, Public Administration, Management, Secretarial Studies, or a related field.
  • Two (2) to three (3) years of relevant experience in administration, office management, executive support, or a related role.
  • Experience supporting senior management and coordinating administrative processes will be an advantage.
