Role Overview
As the Assistant to the Director, you will provide comprehensive administrative, operational, and coordination support to ensure the Director’s office runs efficiently and effectively. You will manage schedules, coordinate communications, prepare reports, and support decision-making processes through accurate information handling and timely execution of tasks.
You will serve as a key point of contact for internal and external stakeholders while ensuring professionalism, confidentiality, and excellent organizational support at all times.
Key Responsibilities
You will:
- Manage the Director’s calendar, schedule meetings, and coordinate appointments efficiently.
- Prepare and organize documents, reports, presentations, and briefing materials.
- Handle incoming communications, emails, and correspondence on behalf of the Director.
- Coordinate travel arrangements, itineraries, and logistics as required.
- Attend meetings with or on behalf of the Director and prepare accurate minutes and action points.
- Follow up on assigned tasks and ensure timely completion of directives.
- Liaise with internal departments and external stakeholders on behalf of the Director.
- Maintain proper filing systems and ensure confidentiality of sensitive information.
- Assist in preparing management reports and presentations.
- Monitor deadlines and ensure the Director is well-prepared for all engagements.
- Support special projects and assignments as delegated by the Director.
- Ensure smooth day-to-day functioning of the Director’s office.
Qualifications & Experience
Education
You should possess:
- A Bachelor’s Degree in:
- Business Administration
- Public Administration
- Management
- Office Administration
- Or a related field
Experience
You should have:
- A minimum of three (3) to five (5) years of experience in an executive assistant, personal assistant, or senior administrative support role.
- Experience supporting senior management or executive leadership in a structured organization.
- Strong experience in handling confidential and high-level administrative tasks.
Additional Requirement
- Ability to read, interpret, and prepare professional documents, reports, and correspondence.

Technical Competencies
- Executive calendar and schedule management.
- Report writing and document preparation.
- Meeting coordination and minute-taking.
- Travel and logistics coordination.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
