Position Summary
We are seeking a detail-oriented and highly organized Documentation Specialist to manage and coordinate all import and export documentation processes. The successful candidate will ensure compliance with customs regulations, maintain accurate trade records, and facilitate smooth logistics operations.
This role requires precision, strong coordination skills, and the ability to manage multiple documentation processes under time-sensitive conditions.
Key Responsibilities
Prepare, review, and process import and export documentation in compliance with regulatory requirements.
Coordinate with customs officials, freight forwarders, and clearing agents to ensure timely shipment clearance.
Verify shipping documents, including bills of lading, commercial invoices, packing lists, and certificates of origin.
Monitor shipment schedules and track documentation flow to prevent delays.
Ensure compliance with applicable trade regulations and company policies.
Maintain accurate records of all trade and logistics documentation for audit and reporting purposes.
Support internal departments with documentation requirements for procurement and supply chain activities.
Identify and implement process improvements to enhance documentation efficiency and accuracy.
Educational and Professional Requirements
Bachelor’s Degree in Business Administration, Logistics, Supply Chain, International Trade, or a related field.
2–5 years of experience in import and export documentation, logistics, or trade administration.
Experience working with customs authorities, freight forwarders, or clearing agents is a strong advantage.
Basic understanding of Incoterms, shipping documents, and customs processes.
Proficiency in Microsoft Word and Excel.
Strong attention to detail and the ability to work effectively under time pressure.
Good communication skills in English; proficiency in a local language is an advantage.
