Position Summary
The Estate Officer will oversee the effective management, maintenance, and continuous improvement of the school’s buildings, facilities, grounds, and infrastructure. The successful candidate will ensure that all campus facilities remain safe, functional, secure, and visually appealing while supporting the school’s educational mission through efficient estate and facilities management.

Key Responsibilities
The successful candidate will:
- Manage and maintain all school buildings, facilities, grounds, utilities, and infrastructure.
- Develop, implement, and monitor preventive maintenance programmes to maximize the lifespan and reliability of school assets.
- Supervise and coordinate the work of maintenance, grounds, cleaning, and other estate personnel.
- Conduct routine inspections of classrooms, offices, laboratories, recreational areas, utilities, and other campus facilities to ensure high operational standards.
- Coordinate repairs, renovations, refurbishment projects, and facility improvement initiatives.
- Manage external contractors and service providers, ensuring quality service delivery, value for money, and timely completion of projects.
- Prepare, monitor, and control the estates and facilities budget while ensuring cost-effective operations.
- Oversee the effective management of utilities, including electricity, water supply, generators, air-conditioning systems, and waste management services.
- Ensure compliance with all applicable health, safety, fire, environmental, and statutory regulations.
- Maintain accurate records of school assets, maintenance schedules, inspections, warranties, and service agreements.
- Develop and implement emergency response procedures and facility management plans.
- Provide strategic advice to school leadership on infrastructure development, facility upgrades, sustainability initiatives, and long-term estate planning.
- Maintain a clean, safe, secure, and welcoming campus environment for students, staff, parents, and visitors.
Education and Qualifications
The ideal candidate will possess:
- A Bachelor’s degree in Estate Management, Facilities Management, Engineering, Building Technology, Construction Management, or a related discipline.
- A Master’s degree in a relevant field will be an advantage.
- A recognized professional qualification in Estate Management or Facilities Management will be an added advantage.
Experience
The successful candidate should have:
- A minimum of five (5) years of relevant professional experience, including at least three (3) years in a similar estates or facilities management role.
- Experience managing facilities within an educational institution, international school, corporate organisation, or similar environment will be an advantage.
- Demonstrated experience in managing contractors, maintenance programmes, and facility improvement projects.

The ideal candidate will demonstrate:
- Strong knowledge of building systems, facilities management practices, and preventive maintenance.
- Excellent understanding of health, safety, fire, and environmental regulations.
- Strong leadership, people management, and team development skills.
- Excellent planning, organisational, and project management abilities.
- Sound financial management skills, including budgeting and cost control.
- Strong analytical, problem-solving, and decision-making abilities.
- Excellent communication and interpersonal skills.
- The ability to manage multiple priorities and perform effectively under pressure.
- Strong negotiation and contractor management skills.
- High standards of integrity, professionalism, and attention to detail.
- Proficiency in Microsoft Office applications. Experience with facilities management software will be an advantage.
